What are the responsibilities and job description for the Project Coordinator position at D56 Construction?
The goal of the Project Coordinator is to focus on the coordination and administrative aspects of construction projects, ensuring tasks are completed on time, facilitating communication both internally and externally, and tracking project progress. This role supports both the Preconstruction and Project Managers by providing administrative assistance, document organization, and logistic coordination.
KPI’s and Activities Owned:
- Permitting
- Price list aggregation
- Project progress photos
- Material ordering and delivery
- Design selections (document and ordering)
- Quality Control/Feedback to PM on site conditions
- RFP Support – Outreach and compilation of quotes
Actions and Goals:
PROJECT PLANNING:
- Assist in developing project plans, including defining objectives, establishing timelines, and identifying resource requirements.
- Collaborate with Preconstruction Manager, Project Manager and stakeholders to create comprehensive project or job schedules, ensuring tasks are properly sequenced and deadlines are met.
- Attend selection meetings with Project Manager to document and support selection ordering.
PROJECT LOGISTICS:
- Assist in the completion and delivery of supply/material orders.
- Ensure proper vehicles are on appropriate job sites (I.E. dump truck).
- Site staging and controls (I.E. dumpsters, porta potties, etc.)
DOCUMENTATION AND REPORTING:
- Maintain project records such as contracts, permits, and change orders. Oversee document control processes.
- Generate reports/updates on project progress and resource allocation.
- Consistently document project progress through pictures/video assets.
RESOURCE MANAGEMENT:
- Coordinate allocation of resources, such as labor, equipment and materials.
- Liase with subcontractors, suppliers and vendors to ensure timely delivery and resolve logistical challenges.
QUALITY CONTROL:
- Monitor construction processes, conduct inspections, and ensure compliance with project specifications and industry standards.
RISK MANAGEMENT:
- Assist in risk management by identifying potential risks, assessing their impact, and developing mitigation strategies.
PERMITTING AND COMPLIANCE:
- Oversee and support the permitting process.
- Coordinate with government agencies, obtain permits and approvals.
CLOSEOUT AND HANDOVER:
- Assist in facilitating project closeout activities, including documentation, final inspections and client handover.
- Ensure all project deliverables are complete, conduct final walk throughs, coordinate the handover of relevant documentation and warranties.
- Coordinate return of unused materials on job sites.
