Job Overview
We are seeking a Project Coordinator to join our team. As a Project Coordinator, you will be responsible for administrative support of construction projects from start to finish. This includes coordinating with various stakeholders, ensuring project timelines and budgets are met, and ensuring quality standards are upheld.
Duties
· Support Construction Managers by maintaining administrative files and documentation relating to construction projects.
· Create and maintain schedules for contractors and internal employees, maintaining a continuous flow of work on projects.
· Monitor schedules, updating as necessary, and providing updates to Construction Managers.
· Create and maintain contractor records files (W-9, COI, License copies, etc.).
· Create and maintain construction project files with all pertinent documentation (Blueprints, Drawings, Specifications, Material Lists, etc.).
· Draft and complete construction contracts for subcontractors. Including scope of work, terms, payments, schedule/duration, etc.
· Actively administer construction contracts at a minimum 3-month advance schedule.
· Coordinate and support the permitting process on all projects and schedule necessary inspections and meetings.
· Input/record financial budgets and expenses for construction projects. Including invoicing, invoice approval, and monitoring payables.
· Monitor budgets on all projects, provide timely updates, and work with Accounting to resolve any budget discrepancies.
· Coordinate with Design and Purchasing to organize material lists, orders, and deliveries in advance of need.
· Communicate daily with contractors and internal teams to support unplanned operational needs.
· Manage data and reporting from operations to generate KPI reports and proactively keep management informed in a timely manner.
· Support other administrative and operational duties as needed to ensure the company’s success.
Experience
To be successful in this role, you should have the following experience:
- Proven experience as a project coordinator, administrator, or similar role
- Proficiency in administrative project management support
- Excellent time management and organizational skills
- Ability to effectively manage multiple projects simultaneously
- Familiarity with construction management software such as Contractor Foreman
