Overview
Expanding Hospitality Real Estate Firm is seeking an administrative professional to support commercial brokers and assist with office management at our Portland location. Experience in real estate practice is desirable. Commercial real estate experience or real estate practice is very desirable
Individual must have excellent communication and computer skills, be personable, flexible, and capable of multitasking. A college degree and other specialized advanced education are a plus. Will consider part-time and/or flexible hours for a candidate with the necessary skills and qualifications.
Lucrative compensation commensurate with experience. Upscale office environment (in-town location) and opportunity for individual growth while working with an experienced and capable team.

Duties
- Handle customer calls and email inquiries
- Answer inbound calls and coordinate with brokers and management
- Organize and schedule appointments
- Track and manage client/customer traffic and generate established electronic reports on a regular schedule
- Manage improved filing system - coordinate computer files with some hard files
- Order office supplies and manage resources and suppliers
- Maintain CRM contact system and coordinate advertising/marketing efforts with management and brokers
- Some record keeping for operational expenditures and monthly report generation.
Requirements
- High-level skills, such as Paralegal and/or executive office management experience, are very desirable
- Experience with real estate transactions is essential
- Provide administrative support to Brokers
- Knowledge of office management systems and procedures is critical
- Tech Savvy and Working knowledge of office equipment and high Proficiency in MS Office and Google Sheets, and Docs
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both written and verbal.
- Ability to work independently as well as part of a team.
