Position: Human Resources Specialist
Reports to: Director of Human Resources
Department: Human Resources
Classification: Exempt, Full-time
Benefits: Full Museum Benefits
Schedule: M-F 9-5; hybrid schedule available
Salary: Minimum starting salary $48,000 annually, or commensurate with experience
Scope of Position:
This position reports to the Director of Human Resources and provides administrative support of the day-to-day Human Resources operations facilitating retirement and benefits administration, leave administration, employee relations, legal compliance, employee engagement events, and employee communications. This position is a key member of the HR department and will be instrumental in supporting employee communications and morale.
Essential Functions:
- Leads annual benefits enrollment and is the main point of contact for benefit brokers
- Responsible for monthly benefit billing reconciliation and invoice processing
- Facilitates new hire benefits orientation and reviews file feeds for additions and removals
- Benefits Administrator for the organization, acting as the sole point of contact for all benefits-related matters.
- Monthly benefit invoicing
- COBRA Enrollments
- Benefit Changes for qualifying events
- Workers’ Compensation claims
- Administrator for 401k retirement plan, compliance notifications, and assists in the annual audit
- HR records Administrator - maintain records of new hire benefit enrollment, 30-60-90-day check-ins, and process all terminations by scheduling exit interviews, helpdesk tickets, payroll separation forms, and administering the return of company property
- Collaborates with Payroll Manager to apply appropriate benefits with employee records.
- Administer and track employee FMLA and other leave with proper documentation and communication to employees and managers
- Administer first-level employee relations, working with managers and providing coaching and documentation support
- Lead employee engagement efforts by driving internal events calendar. Schedule events with the support of the employee engagement team.
- Develop monthly wellness challenges and events (holiday party, luncheons, monthly coffee-talk, etc.)
- Assigns all new hires appropriate new hire training modules
- Assists ERGs with administrative support
- Administrator of unemployment claim reporting to the Texas Workforce Commission
- Manages and responds to all inquiries in the HR inbox
- Main point of contact for internal all-staff communication, including monthly staff newsletter
- Oversees recruiting for front-of-house positions and conversions
- Handles and responds to general HR inquiries
- Performs other related duties as required and assigned

- Education, Experience, and Certification:
- Bachelor's degree in business, Human Resources Management, or related field required
- 3 years of benefits administration experience preferred
- PHR Certification preferred
- Paylocity HRIS experience preferred
- Bilingual in English and Spanish preferred
Key Qualifications:
- Proficiency using a variety of computer/ software applications and reporting functions especially in Excel and Microsoft Word software
- High level of interpersonal skills to be personally welcoming and handle confidential situations with credibility
- Knowledge of HR office administration and documentation procedures
- Attention to detail, proficiency in establishing priorities, meeting deadlines and project management
- Excellent spelling, grammar, phone, oral and written communication skills
- Willingness to personally demonstrate compliance to museum policy
- Calm and patient demeanor when handling difficult interactions
