POSITION SUMMARY DESCRIPTION
The Controller leads the accounting function for Damien Memorial School. This role is responsible for the integrity and accuracy of financial reporting, ensuring compliance with accounting principles and regulations, and providing financial insights to management. The Controller oversees the day-to-day accounting operations and plays a crucial role in developing and maintaining strong internal controls.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Ensures that tuition contracts are accurately reflected in the tuition billing software. Student billing is prepared accurately and timely. Tuition payments are posted accurately. Past due notices are properly worded and sent out timely. Oversees dissemination of past due accounts list to ensure coordination of next steps with Vice Principal, Records, and Admissions.
- Ensures that tuition revenue is accounted for in accordance with GAAP and agrees to the General Ledger.
- Ensures that cash processing is performed in accordance with internal controls, accurate, timely deposited, and recorded properly.
- Ensures that accounts payables are recorded accurately and timely, checks are cut accurately, signed by the proper signers, and disseminated timely.
- Reviews invoices, assigns General Ledger code, and submits to Chief Financial Officer for approval. Scans approved invoices to Accountant for recording into accounting software. Ensures that bank and investment reconciliations are completed timely and accurately.
- Prepares general excise tax returns periodically and annually.
- Prepares audit workpapers and account reconciliations monthly and annually.
- Responsible for preparing payroll timely and accurately, and payroll-related compliance is maintained. Ensures that payroll is recorded accurately.
- Ensures that the monthly and annual closes are accurate and timely. Prepares monthly financial analysis reports.
- Serves as a main point of contact with the auditors and ensures that all workpapers, reconciliations, and information is provided to the auditors in an accurate and timely manner. Maintains correspondence with the auditors.
- Works closely with Advancement to ensure that donations are recorded properly and accounting for fundraising projects is set up properly. Ensures that donations are recorded accurately. Fields questions regarding donations and tax-related benefits for donors.
- Works closely with Admissions including maintaining workpapers related to managing financial aid awards and discounts..
- Works closely with department leaders to gather input for creating the budget. During the year, sends timely actual-to-budget reports to department leaders and fields questions. Prepares annual budget.
- Fields questions from parents regarding tuition accounts and payments.
- Facilitates payroll-related processes related to new employee onboarding, separations, position changes, pay rate changes, separations, benefits additions and changes.
- Takes on other projects as assigned.
- Attends and participates in meetings, workshops, and training.
- Other duties as assigned.
Qualifications
Technology Requirements
- Must be proficient with Apple Mac and Apple MacBook.
- Must be proficient with QuickBooks Online.
- Must be proficient with Google Workspace, especially GMail, Google Meet, Google Drive, and Calendar.
- Must be proficient with Zoom.
Professional and Education Requirements
- CPA designation is preferred.
- At least 3 years public accounting experience is required.
- At least 3 years of not-for-profit accounting experience is required, preferably including accounting for a school.
- Bachelor degree in accounting is required.
Other Experience Requirements:
- Simultaneously work independently and as part of teams.
- Works well with others.
- Works well under pressure.
- Self-starter.
- Must have a valid driver’s license.
WORK SCHEDULE: Monday-Friday, 8:00am - 5:00pm. Hours can be flexible based on deadlines and activities, provided that there is prior approval by Supervisor. Some weekend and evening hours.
