NOTE ABOUT POSTED SALARY RANGE: The salary range posted is the Full Time Equivalent for this role. This is a part-time position, the salary range will be pro-rated to hours worked. E.g. a 20 hr position would equate to a range of $29,078.50-$36,348.
Strategic Responsibility:
The Executive Assistant will work directly with the Board of Trustees to manage and oversee the day-to-day operations and administrative support activities of the Board. This position will provide administrative assistance and general support to the Chairman of the Board and Board of Trustees as they pertain to all Board-related activities, including meeting preparation, minutes and action items. This position will also perform special projects to support all Board activities as they arise.
Job Description:
Responsible for a high level of administrative and organizational support, including confidential and strategic calendar management (for Board of Trustees), preparation for meetings, employee meetings and communications, processing expenses, legal notices, proxies, corporate resolutions and subsequent correspondence in connection with Board of Trustees meetings, and maintaining active and archive files for DCC.
Coordinate logistics for regular and special board meetings and committee meetings, including: meeting rooms, hotel arrangements, catering/dining arrangements, special events/activities, honorariums, and related expenses.
Establish excellent working relationship with the Chairman and Members of the Board of Trustees, CEO and members/leaders in verbal, written, and electronic correspondence.
Special project coordination: Take leadership direction for special projects as assigned by the Board of Trustees. Act on behalf of the Chairman of the Board and the Board of Trustees, see projects from concept to implementation to completion with little or no guidance.
Coordinate and prepare agendas and documents for regular and special Board of Trustees meetings, as well as committee meetings. Attend meetings and record official minutes for all board related meetings.
- Ensure action items from board related meetings are accomplished.
- Prepare, edit and disseminate timely accurate draft and final minutes for all board related meetings; goal is to provide minutes within 2-3 days of meeting occurrence.
- Research issues, analyze problems, determine approaches, compile data and prepare reports.
- Work is generally of a critical and confidential nature.
- Solve problems and demonstrate leadership in representing the Board of Trustees.
Represent the Board of Trustees to various publics including local community leaders, state and federal government leaders, professional contacts and partner organizations. Develop and maintain necessary list of business contacts that influence DCCs ultimate mission. Prepare and maintain individual files and contact information on each trustee (past and present) as well as a file on potential trustees.
Independently research, prioritize and follow up on multiple incoming issues and concerns addressed to the Board of Trustees, including those of a sensitive and/or confidential nature; determine appropriate course of action, referral, and/or response, reporting on ultimate disposition to the Board of Trustees. Ensure compliance with By-laws, especially board meeting 10-day and 30-day notices and trustee term requirements/limitations and organize/maintain official corporate files.
Compose letter and memoranda from verbal direction or from knowledge of organizations policies and procedures.
Create presentations while influencing content appropriately.
Maintain historical record-keeping; archive appropriate documents and file pertinent documentation on Directors Desk. Assist in preparation and maintenance of the Board Policy Manual to include: corporate mission statement, by-laws, code of ethics, job descriptions for committees, and trustee biographies with photographs.
Be an example of a highly professional and approachable leader.
Monitor board budget.
Schedule appointments and maintain Chairman's travel calendar.
Prepare and edit correspondence.
Make travel arrangements , and visa tracking for the Board Members.
Perform other job-related duties as assigned.
Qualifications
Position Requirements:
Formal Education: Bachelors degree in Business or related discipline. Will accept equivalent work experience in lieu of education.
Experience: Minimum 5-7 years senior administrative and high-level leadership experience specifically supporting Executive leadership, President/CEO, and/or a Board of Trustees/Directors. Significant exposure to International cultures and organizations strongly preferred. Experience with Board of Trustees/Directors protocols as well as a background in development and/or Board governance is strongly preferred. Exceptional customer service skills.
Specialized Knowledge/Certification: Proficiency with a PC and Microsoft Office Suite to include Power Point.
Equipment Knowledge: PC and Mac computers, general office equipment.
