Daystar Academy, an IB continuum school in the city of Chicago, serves students in primary, middle school and high school. We are looking for a part time Office Receptionist for the 2024-2025 school year.

Title: Front Office Receptionist (Part-time 10 month position)
Reports to: Director of Operations/Executive Assistant & Head of School
Required: Standard clerical procedures and office operations, grammar, punctuation and spelling; business formatting of documents, standard software applications; standard types of filing systems, proper telephone etiquette. Proficient in Google Suite. RenWeb training will be provided.
Work Days/Hours: Monday through Friday, hours to be determined by supervisor
Job Summary:
The front office team is responsible for greeting and welcoming guests, receiving and delivering all incoming and outgoing mail and packages, answering all calls and directing as needed, scheduling meetings, conference rooms and coordinating office activities. In addition, they are an integral part of making our students feel valued, known and cared for and live out the Daystar mission of empowering our students to positively impact the world through a faith-based, culturally-engaged, globally-minded education.
All Staff Responsibilities:
- Provide a safe school environment, indoors and out, per directives regarding building operations (keys, fobs, alarm codes), the Daystar Distinctives and Responsive Classroom practices
- Participate in a brief staff prayer to start the day at 7:35 sharp on Monday through Thursday in the Gathering Place
- Participate in school engagement events to promote positive school culture
- Complete arrival and dismissal duties as assigned
- Fulfill essential job functions based on one’s specific job description; and during times of school drills or emergencies, assist others as able
- Be on time, appropriately dressed and ready for work at assigned days/times
- Adhere to all of the requirements outlined in the Staff Handbook and comply with the school policies
- Be an excellent ambassador of Daystar Academy at all times
Essential Job Functions Relative to Role as Office Receptionist:
- Provide security for school, monitor front entryway for all persons entering and exiting, monitor external exits via security camera
- Manage the reception area, welcoming school vendors, visitors and chaperones and answering phones
- Provide phone assistance to the Administrative team, transferring or noting missed calls as needed
- Update daily student dismissal changes on Pikmykid software
- Monitor front desk email
- Track and document absent and late students
- Assist Office Manager with coordination of teacher subs
- Provide support to students who are not feeling well; administer medicine as needed and first aid
- Manage head injuries and allergic reactions and other serious medical concerns with the assistance of the Office Manager
- Develop and track records and reports via Renweb/gmail and file incident report document related to incidents and accidents
- Manage laminating of papers for teachers
- Maintain confidentiality of records
- Inspire, motivate, and communicate effectively with a variety of people
- Write effectively
- Present a positive image of the school to all contacts at all times
- Work in teams and work independently as needed
- Take direction and self-initiate projects and tasks
- Prioritize multiple tasks, work effectively under stress, and meet short deadlines
- Build a sense of trust in the school by fostering a respectful, cordial, and professional relationship with parents
- Student supervision and general assistance as assigned
- All other duties as assigned by the Head of School
