The Events Coordinator will focus on the coordination and fulfillment of booked events at Decades.
The Events Coordinator will collaborate closely with clients to fully understand their event requirements and objectives, providing guidance on appropriate spaces, costs, and services offered by Decades. This role encompasses client communication, contract creation, and strategic event growth initiatives. The Coordinator will be responsible for the successful execution of all events, including developing and maintaining comprehensive contracts, timelines, budgets, and checklists. Coordinating crucial logistical aspects such as venue setup, decor, and catering is essential. Furthermore, managing event registrations, RSVPs, and maintaining clear communication with attendees are critical responsibilities within this role.
Excellent customer service is paramount. As the primary client contact, the Events Coordinator will build strong relationships, ensure client satisfaction, and cultivate repeat business. This role also includes negotiating vendor contracts and effectively communicating event details.
Success in this role demands strong collaboration with the management team, including marketing and operations. Effective teamwork is essential to align event objectives, coordinate logistics seamlessly, and ensure smooth execution in a dynamic and fast-paced environment.
Strong familiarity with businesses, organizations, and the community in Lancaster County is a plus.
Role Responsibilities:
- Event Management:
- Coordinate all aspects of events with clients, ensuring seamless execution.
- Create detailed event contracts (BEOs) considering factors like space, timing, guest count, seasonality, pricing, and logistical needs.
- Develop and implement a comprehensive event promotion strategy in collaboration with the Sales & Marketing Manager.
- Sales & Revenue Growth:
- Identify and pursue off-site event opportunities (e.g., community events, expos, wedding shows).
- Develop and manage the Events department budget, including allocations for in-house meetings, event tastings, and other expenses.
- Explore creative avenues to increase revenue per event (e.g., beverage and food a la carte options, gift packages).
- Collaborate with the Bar Manager and Executive Chef to develop a la carte menus as needed
- Client Relations & Marketing:
- Schedule and conduct event open houses and tours of the venue.
- Work closely with the Sales & Marketing Manager to develop targeted marketing campaigns and sales strategies to boost event bookings.
- Maintain strong relationships with other Decades Managers to gather feedback, improve event operations, and foster teamwork.
- Assist with internal Decades-created events such as ticketed parties (i.e. New Year’s Eve), media events, and other strategic Decades events.
- Market Analysis & Competitor Research:
- Conduct thorough research on competitive event venues, analyzing their pricing, offerings, and market positioning.
- Implement strategies to re-engage past clients through follow-up communications, solicit reviews, and gather testimonials for marketing purposes.
Schedule:
Standard work hours are Monday-Friday X-X. Flexibility is expected to accommodate occasional evening and weekend hours for open houses, client meetings (including holiday periods), internal events (i.e. New Year’s Eve ticketed event) and sales-related activities (i.e. wedding shows, community events, etc).
