Answers incoming phone calls professionally and records and relays messages accordingly.Front desk, receptionist and administrative assistant position essential functions and duties include (but are not limited to):
- Answers incoming phone calls in a professional manner, records and relays messages accordingly.
- Screens incoming phone calls and transfers calls as appropriate.
- Provides direct support to new employees, visitors, and staff.
- Re-directing clients to appropriate areas.
- Ensures that copy room is always remains secured (locked) if away from front desk.
- Ensure privacy of all clients – documents face down, HIPAA, checking ROIs, etc.
- Create and update client sign-in sheets.
- Consolidate all staff/client schedules to ensure smooth daily operation.
- Appointment scheduling, when changing or adding client and communicate as appropriate.
- Maintains office cleanliness, plant care, inventories office supplies and equipment maintenance.
- Opening and closing procedures (depending on shift)
- Scanning documents
- Daily temperature checks for all refrigerators and weekly cleaning or as needed. Check food, spices, supplies for expiration.
- Complete Daily Compliance Logs.
- General office duties include copying, filing, faxing and data entry as needed.
- Creates client welcome cards and goody bags, keep 10 bags each female and male available.
- Printing Client Handbooks to have, at minimum, four on hand at all times.
- Assists with HR and Compliance duties.
- Maintains office correspondence and interoffice memos as directed.
- Other administrative duties/tasks are assigned by the supervisor or executive director.

Qualifications
- Proven experience in medical administrative support and front desk operations
- Strong computer skills, including proficiency in EHR systems such as Sunwave.
- Knowledge of medical terminology, and HIPAA regulations
- Excellent patient service and customer service skills
- Familiarity with Microsoft Office and health information management
- Proficient Experience with Excel, formulas and spreadsheets.
- Ability to manage medical records and perform clerical tasks efficiently
