What are the responsibilities and job description for the Leasing Administrative Assistant position at Denali Commercial Management?
Denali Commercial Leasing is looking for a self-motivated, detail-oriented individual to fill the position of administrative assistant to our Leasing Director. The person we’re looking for must be highly skilled in administrative duties and be able to work with limited supervision.
Position Duties
- Draft commercial lease documents, construction contracts, amendments and change orders.
- Audit leases and input billing and other data from the signed lease into an occupancy notice form for the accounting department; calculate pro-rata percentages and pro-rate rent as needed.
- Review leasing proposals for supervisor; create reports of findings and questions.
- Create and maintain detailed electronic and hard copy file records regarding rental, construction, sale and management of commercial real estate.
- Prepare archived document storage retention schedule and files in boxes organized by year with clear purge instructions posted on box.
- Keep building and tenant parking information current (spaces allotted, prices, submit requests for billing to accounting, etc.) Create and maintain detailed current parking lot diagrams and prepare several monthly parking spreadsheets and check requests to accounting.
- Prepare annual tenant lease expiration spreadsheet for supervisor.
- Prepare bi-monthly tenant data report with floor plans for 14 buildings for staff.
- Review tenant and contractor insurance certificates for compliance, work with supervisors and attorneys to implement changes as needed.
- Sort, classify and organize boxes of documents throughout office.
- Assist in tenant move in and move out process by gathering documentation, sending letters and performing exit walk thrus with tenants; create move-in and move-out checklists.
- Create systems of follow-up and prioritization in hard copy and email (checklists).
- Willing to be trained for additional duties as needed.

Education and Experience
- High school diploma or equivalent.
- Minimum of 2-years experience as an administrative assistant.
- Proficient in Microsoft Office
Certifications
Must be a licensed Salesperson with the Alaska Real Estate Commission or willing to become licensed upon hiring.
