As a Procurement & Contract Assistant, you’ll help manage the procurement process, follow state and federal guidelines, and contribute to Oregon’s goal of delivering high-quality services.
What You’ll Do:
  • Procurement Support: Be the main contact for procurement questions, helping staff and customers with the e-procurement system, purchase requests, and making sure everything is in order.
  • Contract Assistance: Assist in managing contracts for state agencies, including Intergovernmental and Interagency Agreements, and construction projects from start to finish.
  • Coordination: Organize meetings for bidding, contract openings, and proposal reviews. Make sure all contracts are entered into the e-procurement system and properly tracked.
  • Procurement Process: Help create strategies for purchasing, including writing specifications and determining the best way to solicit bids. Help evaluate and manage supplier contracts to ensure everything follows the rules.
  • Contract Administration: Keep track of contractor performance, handle any complaints, negotiate changes to contracts, and maintain contract records.
  • Consultative Assistance: Advise state agencies and contractors on laws, policies, and procedures. Provide research and recommend solutions for procurement needs.

What We Are Looking For
Minimum Qualifications:
Two years of clerical-support experience in a related fields such as general business, accounting, contracts, purchasing, or project administration support.
Associates degree or higher will substitute for the experience.
A one-year certificate in supply chain, logistics management, procurement, or a related field will substitute for one year of experience.

  • Ability to manage and adapt to competing deadlines and responsibilities, while maintaining ongoing tasks.
  • Attention to detail needed to identify problems, and review related information to evaluate, develop, and implement solutions.
  • Skill in analytical problem solving, strong critical thinking and adaptability.
  • Demonstrated professional and effective communication skills, both verbally and in writing.
  • Familiarity with state purchasing rules and regulations. Ability to understand and apply policies, procedures, and legal requirements correctly.

  • Hybrid Work – This position typically requires reporting to the central worksite in Salem twice a month.

  • Employee is required to possess and maintain a valid driver’s license issued by the state where the employee resides.
