Primary Responsibilities
- Payroll Reconciliation: Reconcile weekly payroll and prepare corresponding union reports.
- Accounts Payable: Manage and reconcile Accounts payable payments.
- Financial Collaboration: Work closely with the VP of Finance to achieve the company’s financial goals and objectives.
Key Duties
- Payroll Processing: Export weekly and semimonthly payroll from ComputerEase, and import it into UMB for direct deposit. Handle 941 liability, recurring CO AP payments, remit federal tax liabilities for layoff checks, and 401k remittances for weekly payroll.
- Tax Management: Approve federal tax deposits, remit state withholding (Arkansas and Oklahoma), and file quarterly payroll tax reports (AR and OK SUTA). File KS use tax and sales tax returns, and sales tax returns for AR and OK. Prepare yearend tax fillings and review use tax amounts on AP invoices. Set up and maintain tax codes in ComputerEase.
- Union Reporting and Compliance: Prepare union reports for Local 533 and SH-ME, including labor hours by county and dues remittance. Process MOKAN H&W hours for non-collective bargaining employees and maintain union audits and verification notices.
- Employee Records Management: Enter salary PTO into ComputerEase, reconcile PTO and sick hours with BambooHR, verify employee setup in ComputerEase, and maintain employee and union rate changes. Manage employee banking information and process VOE (office and union).
- Reconciliation Tasks: Reconcile AFLAC, Legal Shield, and Northwestern Mutual invoices, as well as Field Expense GL accounts, and bank statements. Reconcile GL accounts, including loans to employees and uniform employee shares.
- General Ledger and Reporting: Input budgets into the ComputerEase general ledger, run monthly variance reports, and confirm contract amounts and cost budgets for project managers’ work in progress reports.
- Financial Processing: Export ACH files, upload them for approval, process AP checks, confirm payments for subs, and manage vendor payments via AMX.
- Vehicle and Lease Management: Summarize Enterprise Lease Fleet invoices for GL coding, update vehicle lease schedules for year-end review, and handle vehicle registrations, title, and renewals for owned vehicles.
- Support Functions: Complete ACH enrollment forms, and gather and submit information to auditors as needed. Serve as a backup for VP of Finance daily functions.
- Administrative Support: Handle all additional duties as assigned, providing support across the company as necessary.

EDUCATION AND/OR EXPERIENCE: Bachelor’s Degree in field of Accounting or Finance. Minimum five years in a public accounting role and five years in the construction industry. CPA preferred, but not required.
LANGUAGE SKILLS: Ability to read and interpret management level documents such as financial statements, contracts, legal documents, etc. Ability to write and speak proper grammar. Ability to communicate effectively with all levels of the organization.
COMPUTER SKILLS: To perform this job successfully, an individual should have a knowledge of Excel Spreadsheet software and Microsoft Office Word Processing software.
