Scheduling Coordinator - Installations / Delivery
DeSitter Flooring is a premier 103 year old flooring company, serving both residential and commercial clientele throughout the Chicagoland area. We are seeking a full-time Scheduling Coordinator, reporting to our Customer Service Manager. This position will oversee scheduling coordination of all of our flooring installations through communication with external and internal stakeholders. The ideal candidate will be proficient in scheduling and customer service, while upholding our company's Vision and Core Values.
Essential Duties:
- Schedule and coordinate soft and hard surface flooring installations with customers and installers.
- Schedule and coordinate material only deliveries, outside fabrication, binding, walkthroughs, and dumpsters with external stakeholders.
- Assign installers to projects, confirming availability and providing work orders.
- Utilize our ERP system (RFMS) to manage all scheduling activities and maintain documented notes regarding day-to-day communications.
- Coordinate with Purchasing and outside vendors to confirm material status and availability to ensure alignment with scheduling activities.
- Efficiently manage workload by communicating through phone, email, and text message.
- Assist Customer Service Manager on open services and claims.
- Batch print all picking, work order, and delivery tickets daily.
- Manage paperwork for jobs through organization and distribution of print diagrams and customer envelopes.
- Other duties or opportunity projects assigned by Management.
Required skills to be a successful include the following:
- Basic knowledge of flooring materials or installations is preferred, but not necessary – Note: WE WILL TRAIN.
- Team player – everyone is cross trained.
- Great follow-up skills - communicates well w/others to help manage daily tasks.
- Excellent computer skills and experience with Microsoft Suite (Office, Word, Excel).
- Highly detailed and organized.
- Comfortable handling inbound and outbound calls, emails, and text messages.
- Disciplined to follow processes and meet deadlines.
- Ability to multi-task in various situations to get things done on time.
