Job Scope
The Accounts Payable Specialist II is responsible for managing end-to-end accounts payable processes, ensuring compliance with company policies, internal controls, and regulatory requirements. This role involves processing invoices, reconciling statements, managing vendor relationships, and supporting month-end close activities. The ideal candidate has strong attention to detail, the ability to work cross-functionally, and a proactive approach to problem-solving in a fast-paced environment.
Key Duties and Responsibilities
Invoice Processing & Payments
Accurately process and review invoices for appropriate documentation and approval.
Ensure timely and accurate payment of vendor invoices in accordance with company policies.
Resolve discrepancies related to invoices, purchase orders, and payments.
Process employee expense reports in compliance with company policies and tax regulations.
Vendor Management & Reconciliations
Maintain positive relationships with vendors, ensuring timely responses to inquiries.
Reconcile vendor statements and resolve outstanding balances or discrepancies.
Manage vendor setup, payment terms, and compliance with regulatory requirements.
Financial Reporting & Month-End Close Support
Assist with month-end accruals and reporting, ensuring proper cut-off of expenses.
Support general ledger reconciliations related to accounts payable.
Collaborate with cross-functional teams, including Procurement and Finance, to improve processes.
Process Improvement & Compliance
Identify opportunities for process efficiencies and automation within the AP function.
Ensure compliance with internal controls, SOX requirements, and company policies.
Participate in audits and provide supporting documentation as needed.
Education, Experience, and Qualifications:
Education & Experience
Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
Minimum 3 years of experience in Accounts Payable or related finance roles, preferably in the medical device, biotechnology, or pharmaceutical industry .
Technical & Functional Skills
Strong understanding of accounts payable processes, general ledger accounting, and accruals .
Experience with ERP systems (SAP, Oracle, or Workday preferred) .
Proficiency in Microsoft Excel (pivot tables, VLOOKUP, and data analysis) .
Familiarity with SOX controls, GAAP, and tax compliance related to AP transactions.
Soft Skills & Competencies
Strong analytical and problem-solving skills with attention to detail.
Ability to prioritize and manage multiple tasks in a fast-paced environment.
Excellent communication and interpersonal skills to work effectively across teams.
