SUMMARY:
This position will provide high quality administrative services for the Corporate and Administrative teams, including firm executives. This role will also serve as the primary back-up to the front desk and support other Company departments as needed. This role must be fulfilled in an office environment, with very little opportunity to telework.
ACCOUNTABILITIES:

ESSENTIAL RESPONSIBILITIES
- Provides administrative support to firm Principals (CEO, COO, and President).
- Serves as the primary back up coverage for front desk, including phone coverage.
- Responsible for deliveries and running errands.
- Create PowerPoint presentation for Company meetings (monthly and quarterly).
- Assist and/or initiate planning for Company employee events (bowling event, company lunches and annual recognition dinner).
- Order service award gifts and employee holiday gifts.
- Serve as the Company's TRP (Trip Reduction Plan) Coordinator.
- Support the Accounting team as necessary (ICA's, archiving, scanning and electronically filing insurance certificates into the system).
OCCASIONAL RESPONSIBILITIES
- Assist with maintaining Company vehicle fleet management system. Manages loaner vehicle requests.
- Assist with Facilities Management support when needed.
- Back-up support for Human Resources.
- Lead special projects, directed by firm Principals.

MINIMUM REQUIREMENTS:
Knowledge, Skills, and Abilities:
- Requires strong research skills, initiative, flexibility, excellent interpersonal skills, and the ability to work well with all levels of internal management and staff.
- Strong computer skills with experience in Microsoft Office programs.
- Ability to work independently and in a team setting.
- Ability to set priorities and complete duties in a timely manner.
- High level of emotional maturity and professionalism. The ability to work in a discreet manner while maintaining privacy and confidentiality is a must.
- Ability to establish and maintain effective working relationships.

Education and Experience:
- Must have a High School Diploma or GED equivalent. Some college preferred.
- 3-5 years of experience in an administrative support role required. Prior experience supporting executive/senior level leadership preferred.
- Experience working in the professional services industry preferred.
Other Requirements:
- This is an in-office position within the Phoenix office. Telework will be permitted on a very limited basis.
- Notary Public or ability to become a Notary Public.
- Must be proficient in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint, etc.) and have the ability to create and assemble professional documents/presentations.
- Must have a valid Arizona driver's license or be able to obtain a valid Arizona driver's license within 3 months of start date.
Working Conditions:
This role operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copiers, and filing cabinets. This is a largely sedentary role; however, some carrying, reaching, and lifting are required. This would require the ability to lift files (typically 10 lbs or less), reams and boxes of paper, plan sets, boxes of supplies, open cabinets, and bend or stand, as necessary.
