Primary Purpose: To perform varied and complex administrative supports for the Curriculum and Instruction department. Organize, manage, and facilitate the efficient operation of the department and provide clerical services to department staff. To assist campus and district administrators in the development, monitoring and implementation of multiple budgets and with compliance monitoring and reporting in accordance with grant requirements.
Qualifications:
Education/Certification:High School Diploma
Additional workshops/ training/certification in technology and/ or accounting practices (preferred)
Special Knowledge/Skills:
Proficient skills in computers, technology equipment, etc.
Proficient skills in typing, Microsoft Word and Excel, and Google
Effective communication and interpersonal skills
Basic knowledge of TEA grant applications (preferred)
Knowledge of basic accounting practices and procedures
Major Responsibilities and Duties:
BudgetGather and disseminate data regarding projected revenue and expenditures to assist administrators in the budget building process.
Assist staff in making purchases in a timely and efficient manner. (e.g. purchase orders, invoicing, distribution, etc.)
Prepare budget amendments as needed and submit to the business office in a timely and efficient manner.
Monitor revenue and expenditures; state/local and federal to assure compliance with financial guidelines. (e.g. EDGAR.)
Maintain data and records on revenue, expenditures, reports, etc. in accordance with special programs and special budgets compliance requirements.
Assist payroll clerk and business office in processing monthly payroll data for department staff.
Maintain Time & Effort documentation for all grant-funded staff. In accordance with TEA guidelines ensuring job descriptions are commensurate with job duties and funding.
Technology
Work with the technology department as appropriate to assure department technology needs are met.
Maintain department websites.
Work with department staff and the technology department in selecting purchasing, loading, and troubleshooting assessment software.
Uploads, maintains, troubleshoots, and monitors the implementation of various instructional software programs as needed.
Records, Reports, and Correspondence
Prepare correspondence, forms, reports, etc., for the department staff members. (e.g. copying, booklets, charts, documents, and procedural Safeguards), etc…
Complies with all state and district policies and regulations.
Maintains physical and electronic departmental forms.
Copy, email, mail, or fax records as needed/ requested.
Create and maintain a check-out system for equipment, testing kits, and other departmental resources.
Other Department Responsibilities
Submit work orders for departments in a timely and efficient manner.
Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
Assistant to the SHAC committee.
Assist department staff with registrations, hotel bookings, travel expenses, etc.
Respond promptly to all inquiries made by district staff and to all district staff needs regarding services offered and/ or monitored by the department.
Develop and process all contracts for contractual staff within the department.
Maintain all staff certifications/licensures for employees and contractual staff.
Maintain a positive and effective working relationship with all internal and external customers.
Maintain a current inventory of supplies and place orders when necessary.
Check- in and process incoming freight as needed.
Schedule meetings for department through Outlook/Google mail meeting requests.
Maintain fax machine, copiers, and printers for the department.
Notarize papers as needed (district personnel).
Errands to campuses as requested (Pick up and Deliveries)
Processes all outgoing mail for department.
Maintain confidentiality.
Complete all other duties as assigned.
Supervisory Responsibilities: None
Equipment Used: Personal Desktop Computers, fax machines, copiers, scanners, laminator, postage stamp machine, 10 key by touch.
Working Conditions:
Mental Demands/Physical Demands/Environmental Factors: Must be able to communicate (verbal and written); ability to maintain emotional control under stress; ability to work as a cohesive member of a Team; may require some irregular or prolonged working hours.
