Secretary II (Part-Time to Full-Time Position)
This position is performing under a Collective Bargaining Agreement.
Position Description: Individual applying for this position must have experience performing same or similar type work, inputting data into MAXIMO CMMS Systems, scheduling, parts ordering and working in a transportation type environment that has the following skills.
· The individual shall be responsible for maintaining all fleet records required along with maintaining the status and location of all BSVE in the Government CMMS (Currently Fleet Maximo).
· Maintain BSVE, CESE, AWP, MHE, and WHE records and reports in accordance with NAVFAC P-300, NAVFAC P-307 and NAVSUP 538.Such records include the following:a. Individual vehicle/equipment history jacketsb. Accident damage repair estimates.c. Vehicle repair status.d. Annual safety and reliability checklistse. Enter/maintain monthly mileage report from activity in MAXIMO
f. Various Monthly Reports.
G. Dispatching of vehicles.
· The individual is responsible for validation, accountability and accuracy of CESE, MHE, and WHE documents and CMMS data fields. Records shall conform to the directives set forth by NAVFAC HQ, NAVFAC-SE, and CMMS reference guides. All physical and digital records are subject to Navy Audit’s and evaluations. The Individual will ensure reports and data are accurate, on time and completed in the Governments Computerized Maintenance Management Systems on a daily basis.
· The Individual will prepare WO’s per NAVFAC P-300, NAVFAC P-307 andCMMS user guides in the Government computerized maintenance management system (Government CMMS-currently Maximo TR) for all work performed. WO’s shall be prepared and entered into CMMS within 30 minutes of vehicle receipt. WO’s for service calls or field breakdowns shall be prepared and entered into the CMMS within 30 minutes of caller notification, to include entering a detailed description of maintenance/repairs performed with each workorder, actual material and labor cost, and labor hours shall be included to include commercial WO’s for any work covered by warranties and recalls.
· Contacting customers for scheduled maintenance on a monthly basis.
· Provide reports as needed to the Transportation Manager and Project Manager.
Secretary Requirements and Qualifications:
- Keen attention to detail and situational awareness to maintain the safety of the work environment
- Strong work ethic.
- Flexible hours depending on weather conditions and job requirements may require extended work hours.
- Valid Driver’s license and must have his/her own vehicle to get to work.
- Proficient English communication skills required.
- Must be capable of passing a federal background check for access to the base.
- Able to pass background check to obtain CAC (Required)
- Must be able to pass a pre-employment drug screening.
- Must comply with company policies, OSHA, NEC, and base safety.
- Must pass insurance screening of license to drive a company vehicle.
- Follow all Safety policies outlined in the company safety plan.
- All applicants will review and comply with current CBA and Company policies.
- May require performance of other duties as per CBA job titles.
