Job Summary:
We are seeking a detail-oriented Payroll Specialist to manage payroll processing and invoice handling for the company. This role involves ensuring the timely and accurate distribution of payroll, processing invoices, and maintaining compliance with tax laws and internal procedures. The ideal candidate will have a strong understanding of accounting principles, proficiency in accounting software, and the ability to build relationships with vendors and employees, playing a key role in supporting smooth financial operations.
Key Responsibilities:
Payroll Processing
- Manage timely and accurate processing of employee payroll for hourly, salaried, and commission-based employees.
- Ensure proper deductions (taxes, benefits, etc.) are applied and calculate overtime, bonuses, and other special pay adjustments.
- Administer vacation and company policies related to payroll & HR, ensuring classifications match hours worked every 6 months.
- Maintain accurate payroll records, making necessary changes for salary adjustments, new hires, and terminations.
- Handle payroll tax filings and deposits, including federal and state taxes.
- Respond to employee inquiries regarding payroll, deductions, and pay discrepancies.
Invoice Management
- Process and track incoming and outgoing invoices to ensure timely and accurate billing.
- Collaborate with vendors, clients, and internal teams to resolve invoice discrepancies.
- Ensure invoices comply with company policies and contract terms prior to approval for payment.
- Maintain organized records of all invoice transactions and ensure documentation for auditing purposes.
- Reconcile invoices with purchase orders and receipts to verify valid charges.
Reporting & Compliance
- Prepare regular payroll and invoice reports for management review.
- Ensure compliance with payroll tax laws and stay up to date on relevant regulations.
- Assist with year-end reporting, including W-2s, 1099s, and other filings.
Cross-Department Collaboration
- Work with HR and Finance teams to ensure accuracy in payroll data, invoice approvals, and payments.
- Ensure timely communication of payroll schedules to employees and departments.
Qualifications:
- Proven experience as a Payroll Specialist, Accounting Clerk, or in a similar role that involves payroll and invoicing.
- Knowledge of payroll software (e.g., Paychex) and invoicing tools (e.g., ADP).
- Strong understanding of payroll taxes, benefits, and financial reporting.
- Experience with accounts payable and receivable processes.
- Excellent attention to detail and strong organizational skills.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Strong communication skills and the ability to maintain confidentiality.
Education & Experience:
- Associate's or Bachelor's degree in Accounting, Finance, Human Resources, Business Administration preferred.
- 1-3 years of payroll experience preferred.
- Intermediate Excel skills.
- Experience with union payroll is a plus.
