Donahue Fitzgerald LLP seeks a full-time Legal Secretary/Word Processor to support multiple attorneys in our Walnut Creek office. This position provides administrative and legal support for corporate, real estate, and litigation.
Responsibilities
- Provide administrative support to multiple attorneys across a variety of practice areas, including corporate, real estate, and litigation
- Work with attorneys and clients on various corporate transactions, including incorporations/formations, qualification of entities, and corporate government matters; assisting with deal closings, corporate reorganizations, dissolutions, and other business transactions
- Draft, revise, and redline (using track changes) complex legal documents, agreements, contracts, pleadings, and correspondence
- Prepare and file documents in state and federal court
- Proofread documents for grammatical and typographical errors as well as for content and correct errors, as necessary
- Effectively communicate with clients and colleagues by telephone and/or e-mail
- Manage attorneys' Outlook calendars, and schedule meetings and conferences as required
- Enter attorney time when requested. Process expense reimbursements and invoices for payment
- Maintain physical and electronic client files
- Answer telephones and take messages when needed
- Assist other attorneys when needed
- Other administrative tasks, as assigned
Skills
- High School Diploma or GED required, Bachelor's Degree, preferred
- 3 years' of experience as a legal secretary and/or word processor
- Ability to create, edit, and format complex legal documents (agreements, articles of incorporation, pleadings, etc.)
- Advanced knowledge of MS Office, including Word, PowerPoint, Excel, Adobe Acrobat, and Outlook.
- Prior experience with CCC MacroPro or a similar template package and macros
- Advanced skills in redlining or using track changes in Word documents
- Prior experience with a document management system such as NetDocs and/or IManage
- Ability to convert large PDFs documents to Word and apply formatting and numbering schemes as appropriate
- Outstanding time-management and typing skills
- Ability to multitask and be comfortable dealing with a diverse pool of people
- Ability to work independently and complete assignments with minimal supervision when needed
- Ability to work in a team environment and maintain a positive and productive relationship with attorneys and peers
- Ability to work a 40 hour workweek with occasional overtime
- Must be able to work in the office 5 days a week during the first 90-days of employment and then a hybrid work schedule, currently 3 days a week in the office

This position's estimated annual base salary range is $85,000 - $100,000. Salary determinations are based on numerous factors, including, but not limited to, the years of relevant experience and job knowledge required for this role.Salary : $85,000 - $100,000
