We are seeking a Veterinary Referral Coordinator to help grow and elevate our practice. This role blends client referral management , marketing strategy , and fostering a vibrant clinic culture . You’ll be the primary point of contact for referring veterinarians and clients, while also enhancing the internal culture and supporting employee engagement.
This position is vital for ensuring smooth referral processes, effective communication with referring veterinarians, and the successful execution of marketing strategies and community outreach programs. The ideal candidate will possess a strong blend of veterinary knowledge, administrative skills, and a passion for relationship-building and marketing.

Compensation : Starting at $50K Quarterly Performance Bonuses
- Onsite Monday & Friday's 9 AM - 5 PM
- Flexible Schedule : Tuesday, Wednesday, and Thursday (hybrid work schedule, with most of this time spent visiting clinics to build your referral network and grow the Trupanion business and secure rDVM referrals)
Key Responsibilities
Referral Coordination & B2B Relations
Foster & Maintain Relationships : Build and nurture strong relationships with primary veterinarians, ensuring they view DCAH as a trusted partner for referrals.Client & Referral Management : Serve as the primary point of contact for referred clients, managing their journey from initial consultation to case closure.Vet Relations : Act as the liaison for pDVMs, addressing concerns and ensuring their needs are met.Outreach & Marketing : Develop targeted marketing materials to showcase our hospital to referring veterinarians, including videos, emails, and print materials.Track & Report : Keep detailed logs of all hospital contacts, outreach activities, and referral data. Provide regular reports to the Medical Director and Hospital Director.Event Planning & Community Engagement
Plan & Coordinate Events : Lead the planning and execution of community and staff events, including Howl-O-Ween , Vet Tech Week , and holiday celebrations.Additional Examples of staff and community events below :
Vet Tech Week (October) following the customs of the hospital and incorporating new innovative ideas for this annual event.Christmas Party (December)Team Building (Spring)Plan and organize Continuing education events for RDVM s1st event to be held upon the opening of the new location (anticipated March / April)Host 3 Open House Events for Police , Federal Reserve , School Board, rDVM and ClientsContinuing Education : Coordinate educational events and workshops for RDVMs (referring veterinarians), including the grand opening of new locations and multiple open house events.Networking : Represent DCAH at industry conferences, trade shows, and networking events to build our reputation in the veterinary community.Culture Ambassador

Recruitment Oversight : Help manage the recruitment process for the clinic, working closely with the hiring team to fill open positions, including sourcing and interviewing candidates.Staff Development : Assist in training new employees and enhancing onboarding processes to ensure smooth integration into the DCAH family.Marketing
Review Social Media accounts & suggest areas of improvement.Organize and work with videographer for videos created for pet owner “how-to’s” & training videos.Qualifications
Experience : Minimum 7 years of customer service experience, with at least 5 years in an administrative or marketing role.Veterinary Knowledge : Strong understanding of veterinary practices, medical terminology, and procedures.Relationship-Oriented : Ability to build and maintain positive, professional relationships with veterinary partners.Organizational Skills : Detail-oriented with exceptional organizational and multitasking abilities.Communication Skills : Excellent verbal and written communication skills, with the ability to engage effectively with clients, staff, and external partners.Tech-Savvy : Proficiency in digital tools and marketing platforms, including social media and video production.Marketing Expertise : Experience in creating compelling marketing materials, including videos, emails, and print collateral.What We Offer
