Job OverviewAre you looking to contribute your skills to a growing organization? At Dragon Rises College of Oriental Medicine we are devoted to creating the future of Integrative Medicine. As the Office Manager & IT Assistant, you will provide front-desk duties while overseeing the efficient operations of the college and clinic. In addition, you will assist with the day-to-day management and maintenance of the company's on ground IT systems and provide technical support to staff and students as needed. This role requires a blend of organizational and communication skills as well as technical expertise.
Key Responsibilities:
Office Management:
- Manage office and clinic supplies and equipment, ensuring that all items are stocked and functional.
- Oversee campus organization, including maintaining a clean, safe, and productive work and learning environment.
- Coordinate and manage office maintenance, repairs, and vendor relationships.
- Handle incoming communications (phone calls, emails, mail) and distribute as necessary.
- Act as the first point of contact for students, patients, visitors and guests, providing a professional and welcoming atmosphere.
- Provide clinic scheduling duties and receive and log payments.
- Maintain records, filing systems, and office documentation in an organized manner.
- Fulfill and ship student supply and book list items each trimester.
- Provide staff support and assist in annual safety and inspection updates and reports.
IT Support:
- Provide basic IT support, troubleshooting, and help desk assistance for staff and students.
- Assist with the setup, configuration, and maintenance of computer hardware, software, and networking equipment.
- Ensure that all office computers and devices are operating efficiently and securely.
- Assist with software installations, updates, and troubleshooting.
- Assist in Distance Education administration; scheduling, maintaining calendars, syllabi changes.
- Provide IT orientation for students and staff.
- Collaborate with external IT service providers to resolve complex technical issues.
- Assist in maintaining data security and confidentiality protocols, including regular data backups and antivirus software management.
- Work closely with our COO and Distance Education Director to enhance Distance Education and on-ground class experience.
Qualifications:
- Associate’s or bachelor’s degree in Information Technology, Business Administration, or a related field.
- Proven experience in office management and administrative support.
- Experience providing IT support or managing IT systems, or technical certifications (e.g., CompTIA A , Microsoft Certified IT Professional) preferred.
- Strong knowledge of office software (Microsoft Office Suite, Google Workspace) and basic IT troubleshooting techniques.
- Excellent communication skills, both written and verbal.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Ability to work independently and as part of a team.
- A proactive approach to problem-solving and issue resolution.
Additional Skills/Requirements:
- Familiarity with network configuration and basic cybersecurity best practices.
- Experience with inventory management and budgeting.
- Ability to manage confidential information with discretion.
- Flexible, adaptable, and willing to take on new tasks and challenges as needed.
- Ability to learn SIS LMS (Populi) and new systems and provide training.
- Additional experience with WordPress Administration, back-end development (php, HTML, CSS, js) and end-user support is a strong plus.
- Attend additional webinar and in-service training to stay updated on in-field enhancements.
