Job Title: Executive/Personal Assistant

Location: Bradenton/Sarasota, FL

Position Type: Full-Time (28-40 hours/week, On-Call as Needed on Weekdays, Weekends, and Evenings)

Salary: Competitive, based on experience (Contract) - $23/hour

Job Overview

We are thrilled to announce an opportunity for an Executive/Personal Assistant who will play an integral role in supporting a dynamic CEO, alongside their company and family office. This position is ideally suited for a highly organized professional with substantial experience, eager to contribute to the efficient management of daily activities, scheduling, travel arrangements, and logistics. Your role will be essential in ensuring that the personal and professional life of the employer operates seamlessly.

Key Responsibilities

  • Oversee a complex calendar, scheduling meetings, appointments, and social engagements with accuracy.
  • Coordinate all aspects of domestic and international travel, ensuring flawless arrangements for flights, hotels, and ground transportation.
  • Manage daily personal and business-related tasks, including correspondence, errands, and comprehensive household administration.
  • Anticipate and address needs proactively, streamlining logistics to avert potential disruptions.
  • Function as a liaison between the employer and various stakeholders, including vendors and business associates.
  • Facilitate the smooth execution of meetings and events, preparing necessary documents and materials.
  • Uphold strict confidentiality and discretion concerning sensitive information at all times.
  • Demonstrate exceptional problem-solving capabilities, identifying and mitigating potential obstacles proactively.
  • Assist with special projects and ad-hoc requests as required.
  • Treat every task with utmost importance and prioritize responsibilities effectively.
  • Exhibit a high level of responsiveness, ensuring prompt communication and attention to calls.

Qualifications

  • A minimum of 5 years of experience in a similar capacity, supporting C-level executives or families.
  • Outstanding organizational skills, with the capability to manage multiple priorities concurrently.
  • Proven aptitude for anticipating needs, thinking critically, and providing immediate solutions.
  • Strong written and verbal communication skills, with a meticulous eye for detail.
  • Expertise in managing complex travel logistics, both domestically and internationally.
  • Proficiency in office software, including Microsoft Office Suite and scheduling tools.
  • Bilingual (Spanish and English) is advantageous but not mandatory.
  • Willingness to work varied hours and travel as necessary.
  • Exemplary discretion, professionalism, and emotional intelligence.
  • Ability to flourish in a fast-paced environment and adapt to evolving circumstances.
  • Exceptional resourcefulness with a proactive approach to problem-solving.
