Key Responsibilities

  • Efficiently manage a dynamic calendar, coordinating meetings, appointments, and personal engagements.
  • Arrange seamless domestic and international travel logistics, including flights, accommodations, and ground transportation.
  • Oversee daily personal and business-related tasks, encompassing correspondence, errands, and household management.
  • Anticipate needs, proactively addressing logistics to avert any potential disruptions.
  • Act as a reliable liaison between the employer and vendors, clients, and business associates.
  • Organize and facilitate meetings and events, ensuring all materials and logistical details are meticulously arranged.
  • Uphold strict confidentiality regarding all personal and professional matters.
  • Quickly identify and resolve potential challenges before they arise.
  • Assist with special projects and ad-hoc requests as necessary.
  • Manage tasks of varying levels with dedication and efficiency, from high-priority assignments to routine responsibilities.
  • Be highly responsive and available as required, including evenings and weekends.

Required Skills

  • 5 years of experience in a similar capacity, supporting C-level executives or high-profile individuals.
  • Exceptional organizational and multitasking capabilities.
  • Ability to foresee needs and think critically in real-time.
  • Strong written and verbal communication skills, coupled with meticulous attention to detail.
  • Experience in managing complex travel arrangements, both domestically and internationally.
  • Proficiency in Microsoft Office Suite and scheduling tools.
  • A bilingual capability (Spanish and English) is advantageous but not mandatory.
  • Flexibility to work non-traditional hours and travel when necessary.
  • High level of discretion, professionalism, and emotional intelligence.
  • Resourcefulness and a proactive “figure-it-out” mentality.

Qualifications

  • Completion of a Level 2 background check and credit check prior to employment.
  • Must sign a Non-Disclosure Agreement (NDA) to ensure confidentiality.
  • Hybrid work environment, balancing time between office, remote work, and travel.
