Executive Assistant – Corporate Role
Our busy, high-end medical spa is seeking a dedicated and detail-oriented Executive Assistant to support one of our Owners, who also serves as a Provider and Clinical Executive. This is a key role that requires exceptional organizational skills, a proactive mindset, and the ability to thrive in a fast-paced, dynamic environment.

Summary Key Responsibilities:
Calendar & Scheduling Management
- Maintain and optimize the Owner’s calendar ensuring the Owner has efficiently been scheduled for interviews, tasks, and meetings.
- Schedule internal and external meetings, provider check-ins, and strategic planning sessions.
- Anticipate scheduling conflicts and propose solutions proactively.
- Administrative & Operational Support
- Prepare agendas, notes, and follow-up tasks for meetings.
- Monitor the clinic’s internal support ticket system to ensure timely responses and resolutions.
- Monitor the clinical team’s checklists to ensure they are complete and bring discrepancies to the Executive.
Leadership Support
- Assist in coordinating meetings, training, and communications for other providers and clinical leadership.
- Serve as a liaison between the executive and clinic operations, ensuring messages and decisions are relayed effectively.
Reporting & Analytics
- Review key performance and operational reports.
- Identify trends, flag inconsistencies, and provide concise summaries or insights for executive review.
Requirements:
- Proven experience as an Executive Assistant roles or similar experience.
- A self-starter and problem solver
- High level of discretion and professionalism.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Tech-savvy: comfortable using tools like Microsoft 365, AI tools, scheduling software, LMS software.
- Ability to anticipate needs before they arise.

Travel Requirements:
Commuting between all 3 company locations in Foxborough, Canton & Brookline is required.
