What You’ll Do:
- Support our office manager with various administrative tasks to facilitate business operations, including covering phones and scheduling work.
- Dispatch emergency responses and assist in coordinating the logistics involved.
- Think critically about our processes and become an efficiency advocate, helping us scale and adapt. You'll have the opportunity to create scalable processes that support our team while developing your own skills.
- Learn and execute tasks in areas such as billing/invoicing, HR administration, business licensing/compliance, client interaction, and operational scheduling.
- Review timecards and file receipts to maintain accurate records.
- Be a valued voice in the room from day one—every position plays a vital role in our team's success.
Qualifications:
- High School Diploma (Bachelor’s degree preferred).
- 1-2 years of work experience in roles such as administrative assistant, receptionist, service coordinator, or executive/personal assistant.
- Proficiency in computer skills, including QuickBooks, Microsoft Office Suite, Google Suite, Adobe Acrobat, and any design programs (e.g., Photoshop).
- Strong communication skills for effective interactions with vendors, employees, and customers.
- Basic financial acumen and budgeting skills.
- Valid driver’s license and ability to work in the U.S.
Responsibilities:
- Participate in on-call phone rotation, handling customer calls during emergencies.
- Assist the office manager with phone and email communication.
- Maintain both paper and digital filing systems for receipts and documents.
- Manage vendor relationships, onboarding and removing vendors as needed.
- Assist with marketing tasks, including HubSpot management and social media functions (blogs, posts).
- Process payments, generate invoices, handle light collections on AR, and support billing management.
- Manage office supplies and order light warehouse equipment.
- Organize and own the celebratory calendar for team events and recognitions.
