Assistant Project Manager for Immediate Hire
Job overview: Support installation projects from inception to completion.
Duties Include:
- Summarize and maintain job information folders to include all key components of work, subcontractors, customer contact information, access notes, material requirements, payment terms, etc.
- Manage job time tracking including collecting time sheets, maintaining hourly data by employee and job, and providing time sheets to accounting for payroll
- Act as liaison between the sales team, subcontractors, suppliers, and Accounting Department
- Review supplier invoices and submit to accounting for payment
- Track project invoicing status and submit daily and weekly invoicing instructions to Accounting
- Process change orders and purchase orders
- Track inventory and order replenishment stock as needed
- Assist in maintaining Project Spreadsheet with current project status and next steps
- Assist in weekly scheduling and assigning personnel to jobs
- Gather and maintain subcontractor information including certificates of insurance, scope of work, contacts, and executed subcontractor agreements.
- Assist with paperwork and inspections for the Department of Buildings and the local utilities
- Assist procurement in purchasing the equipment and subcontracted services to insure that all conditions of contract documents are identified/accounted for
- Establish and maintain excellent relationships with all parties involved in the project
- File new ConEd cases on their online portal and maintain communication with case contacts to ensure all required documentation is submitted.
- Schedule ConEd inspections and provide updates to customers as necessary.
- Coordinate all rebate submissions with ConEd and NYSERDA, facilitate pre and post inspections and closeout documentation.
Required Experience
- 2 years’ experience as an executive assistant or similar position managing complex projects and schedules
- Prefer past experience working within a construction company with hands on experience in assisting or managing construction projects
- Excellent time management skills with ability to multi-task and prioritize work
- Strong communicator, both verbally and in writing
- Computer skills include Microsoft Excel/Word and Google Apps (mail, calendar, spreadsheets, shared drive, etc.) with experience using Quickbooks strongly desired
- Prefer 4-year degree with studies in construction, engineering, mechanics, and/or project management.
