Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations and ensuring efficient administrative processes. Duties
- Greet patients warmly and provide excellent customer service
- Manage patient scheduling and appointment confirmations
- Handle phone calls, inquiries, and patient concerns with professionalism
- Process patient registration, insurance verification, and billing
- Maintain accurate patient records and ensure compliance with HIPAA regulations
- Coordinate with dental staff to ensure efficient office operations
- Assist with financial arrangements and patient payment plans
- Manage office supplies and inventory as needed
- Support marketing initiatives and community outreach programs
- Ensure accurate and timely processing of employee payroll, including calculations for hours worked, overtime, and any deductions for benefits or taxes.
- Maintain and oversee the timekeeping system, ensuring all staff members accurately record their hours. Address any discrepancies or issues related to time entry promptly.
- Regularly review incoming bills and invoices from vendors, suppliers, labs, and service providers for accuracy. Ensure that all charges are valid and correspond to the services or products received.
- Prepare and process payments for bills in a timely manner to avoid late fees. This may involve writing checks, initiating electronic payments, or calling.
- Maintain and update detailed patient notes in practice management software. This includes documenting patient appointments, treatment plans, and follow-up care.
- Regularly monitor patient accounts to identify those with outstanding balances.
- Reach out to patients with outstanding balances in a timely manner and explain the balance clearly, including details about services rendered and any insurance adjustments.
- Regularly review and update the office's insurance coverage books to reflect any changes in patient insurance plans, including new policies, coverage limits, and benefit changes. This ensures that the dental team has the most accurate and up-to-date information.
- Regularly check the online portal for patient inquiries, appointment requests, and messages. Ensure that all communications are reviewed promptly and provide timely responses.
Skills
- Strong phone etiquette and customer service skills
- Excellent computer literacy, including Microsoft Office Suite (Word, Excel, PowerPoint)
- Exceptional time management skills with the ability to prioritize tasks effectively
- Experience in calendar management and scheduling systems
