Description
Scheduler is under the direction of the Central Scheduling Manager, coordinates and facilitates referrals from physician offices. Schedules patients for inpatient and outpatient procedures in Radiology, Interventional Radiology, Cardiology, Imaging Center, Diabetes Education, Sleep Center and Surgery. Maintains communication with physicians and their office staff to promote positive patient outcomes and a successful rapport with those offices. Communicates effectively with the patient, physician offices and various hospital departments to coordinate care and ensure patients are scheduled appropriately and efficiently. Coordinates with financial counselors to ensure all information is acquired to obtain authorizations.
Responsibilities:
- Coordinates and facilitates incoming faxed orders and Ambulatory (AMB) orders for Radiology, Interventional Radiology, Cardiology, Imaging Center, Diabetes Education, Sleep Center, and Surgery.
- Answers scheduling phone lines in a prompt courteous manner.
- Provides appropriate procedure preparation of all medical procedures scheduled either to the physician/provider office staff or to the patient.
- Requests clinical notes at time of scheduling for accounts needing pre-certification and for patients needing cardiac clearance.
- Maintains a positive rapport and facilitates open communication with physicians/providers’ offices.
- Demonstrates the ability to multitask and prioritize appropriately, promoting positive patient outcomes.
- Utilizes good communication skills to give clear and concise information on the phone to the patient and physicians/providers’ offices.
- Obtains accurate patient demographic and billing information and enters into Meditech at the time of scheduling.
- Documents all interaction with patients and/or physician/providers’ office staff to keep other CWS staff and DRH staff informed.
- Assures all orders are valid and includes all required information.
- Responsible for distributing orders via fax for all scheduled appointments to the correct department or financial counselor.
- Keeps financial counselor and pre-cert staff informed of situations needing immediate attention.
- Provides paperwork to financial counselor for same day and next day add-ons.
- Provides orders and clinical to the pre-cert staff to obtain urgent/STAT add-ons.
- Renames fax files for Central Scheduling and Imaging Center correctly and in a prompt manner.
- Maintains an organized pending file and follows up with the pending appointments according to departmental policy.
- Notes pending patient accounts in scheduler when attempted contacts are made.
- Returns notice to physician/providers' offices after attempts to contact patient are unsuccessful.
- Pre-screens patients for procedure safety and correct procedure protocols.
- Checks scheduling line voicemails and return calls in a timely manner.
- Reviews patient reminder call report and confirms cancel and reschedule requests.
- Regular attendance and punctuality for scheduled shifts.
- Maintains professional and technical knowledge through continuing education opportunities including internal and external educational offerings.
- Must adhere to safety protocols at all times.
- Per DRH policy, all required conditions of employment must be met and maintained including required vaccinations.
- Implement DRH Standards of Behavior and exhibit behaviors consistent with DRH core values.
- Performs other related duties as assigned.
Qualifications
Minimum Qualifications: Communication skills including fluency in oral and written English. Basic computer skills including the ability to send/receive email, navigate information technology associated with the position, and use Electronic Health Record information tools. Ability to remain flexible to quickly adapt to urgent situations. Ability to adapt procedures, processes, tools, equipment, and techniques to accomplish the requirements of the position.
Education and/or Experience: High school diploma or equivalent required. Customer service experience required; Excellent customer service and verbal/listening/written communication skills required. Must be organized and have the ability to multi-task. Proven organization and time management skills are crucial. Previous scheduling experience in a medical office preferred. Previous medical and insurance experience preferred. Knowledge of anatomy, physiology, or medical terminology preferred.
Certifications, Licenses, Registrations: For those positions requiring travel, a current valid driver’s license and automobile liability insurance must be maintained.
Non Safety-Sensitive Position
This position requires respirator and fit testing. Required testing will be performed on all team members at risk for exposure to airborne infectious diseases, droplet producing procedures, or any caustic chemicals.
