Job Summary:
A highly organized, efficient, and detail-oriented Office Administrator will manage our corporate office operations. This individual is a quick learner, self-sufficient, and able to take initiative. They must thrive in a fast-paced, and rapidly growing setting, performing well under time constraints and pressure.
Job Status (FLSA): Full-Time, Non-Exempt
Location: Stone Mountain, GA.
Essential Duties/Responsibilities:
The following list of responsibilities is not all inclusive, additional projects and/or tasks may be assigned to meet operational needs. DVM retains the right to change or assign other duties to this position should operational needs warrant.
- General administrative support for DVM’s Stone Mountain facility and other DVM facilities, as necessary.
- Oversee daily office operations, including maintaining office supplies, equipment, and facilities.
- Ensure a clean and organized office environment.
- General front desk responsibilities, including greeting guests, answering phone calls, and responding to emails in a professional and timely manner.
- Assist with processing invoices, purchase orders, and expense reports.
- Production support.
- Support the accounts payable and receivable processes, as necessary.
- Liaise with vendors and suppliers to procure office supplies, equipment, and services.
- Coordinate meetings, conferences, and events. Schedule meeting rooms, prepare agendas, and assist with meeting logistics as needed.
- Coordinate travel arrangements for employees, including booking flights, hotels, and transportation.
- Perform Notary Responsibilities (preferred, not required).
- Performs other duties as assigned.
Required Skills/Abilities:
- Proven experience as an office administrator or in a similar role.
- Exceptional organizational skills and attention to detail.
- Strong communication and interpersonal abilities.
- Ability to work independently and take initiative.
- Excellent time management skills and ability to prioritize tasks effectively.
- Adaptability and willingness to learn in a fast-paced environment.
Education and Experience:
- Bachelor's degree or 5 years of equivalent experience preferred.
- Satisfactory completion of additional background screening.
Physical Requirements:
- The work environment is a typical office environment, with quiet to moderate noise level, and traditional lighting.
- Prolonged periods of sitting at a desk and operating a computer.
- Must be able to communicate effectively using phones or computer software.
- Must be able to lift up to 15 pounds at times.
- Must be able to access and navigate each department at the assigned facilities.
- Must be able to travel between DVM locations as needed, some travel could require overnight stays.
