What are the responsibilities and job description for the Administrative Assistant 2 position at Easterseals Arkansas?
- This is a Part-Time position (15-20 hours per week) with flexible hours between 8am-5p, M-F.**
Essential Duties and Responsibilities: include the following. Other duties may be assigned.
Reads and routes incoming mail for department. Prepare outgoing mail.
Enters employee information into appropriate database.
Creates personnel files.
Organizes and files all documents in the appropriates sections in the Personnel files.
Maintains employee personnel, criminal history, and health files in current status.
Routes monthly reports to supervisors and/or employees as reminder of updates due for the month (this includes performance evaluations, drivers license renewal, TB tests, professional license/certifications, auto insurance, criminal backgrounds, etc)
Completes Motor Vehicle Records and other checks on new hires (if applicable) and rechecks on current employees as required.
Assist receptionist with switchboard relief during lunch, breaks, and other times as needed. Gives information to callers or routes calls to appropriate location.
Ensures that all paperwork is completed entirely.
Completes all data entry, such as new hire information into the HRIS, and training hours into the LMS.
Assist with audits, as needed.
Ensures terminated employee files are processed properly.

While performing the duties of this job, employee will comply with all federal, state and local laws and regulations pertaining to Easterseals Arkansas.
Employee has no access to client files. Employee will not attempt to access any other protected health information unless otherwise approved by Supervisor or Privacy Officer.

Education And/or Experience
High school diploma or equivalent; six months to one year related experience and/or training; or equivalent combination of education and experience.

- Strong computer skills to use email, calendar, word, spreadsheet, video conferencing, and presentation software as well as program specific platforms.
- Strong orientation to deadlines and detail.

While performing the duties of this Job, the employee is regularly required to sit and talk or hear. The employee is frequently required to use hands to finger, handle, or feel and reach with hands and arms. The employee is occasionally required to walk and stoop, kneel, crouch, or crawl. The employee must regularly lift and /or move up to 10 pounds, frequently lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
