We are looking for an Office Manager to oversee the onsite facilities and physical security team within a government agency headquarters located in Rosslyn, VA. This person will oversee the day-to-day operations, serving as the primary point of contact for any office, facilities, and security-related issues. They will be responsible for maintaining the functionality and organization of the office and ensuring compliance with physical security measures. The Office Manager will partner with the Chief, Operations and Security Specialist, to ensure compliance with client regulations including, but not limited to, Physical Security, Occupant Emergency, Operational & Personal Security, Active Shooter and Antiterrorism. The Office Manager will partner with other members of the Operations team to ensure onsite personnel, especially senior leaders, are appropriately supported. This person should drive work independently, accurately prioritize responsibilities and develop informed recommendations. This is a fully on-site role in Rosslyn, VA (Monday to Friday, 8AM-4PM). Additional on-demand support may be required to respond to emerging immediate facilities and security needs (e.g., emergency response, facilities emergencies, return to in-person work and executive order response, etc.) Role and Responsibilities The position of Office Manager must be able to perform and/or support the following tasks: · Ensure spaces are tidy and in good working condition. · Coordinate with and manage vendors to ensure projects are effectively executed and that up-to-date status is available for all key stakeholders. · Monitor work orders submitted to the building. · Ensure space is prepared for on-site meetings. · Partner with onsite executive support team to monitor supply levels. · Provide regular and detailed status updates on open items. · Partner with the Lead Executive Business Partner to ensure leadership has required onsite support for key meetings. · Develop and review various office safety plans, training material, standard operating procedures, business workflow, etc. · Partner with external agencies to schedule and deliver specialized training for government personnel. · Maintain process for monitoring on-site guests in all office spaces, including government employees and their guests. · Monitor recurring security inspections of office spaces. · Perform special projects and/or other duties as assigned or required. Qualifications, Education and Skills Requirements · U. S. Citizenship required (Sponsorship not available). · High School Diploma or GED. · Five or more years of facilities and security management experience; preferably in a government-managed space. · Strong interpersonal and communication skills to develop effective working relationships with staff while demonstrating a positive, personal and professional image. · Ability to handle difficult situations with poise and tact. · Maintaining confidentiality and exhibiting good judgment. · Ability to manage projects & personnel in execution of project plans and daily duties. · Meticulous attention to detail and follow-through is a must; performs tasks with high degree of accuracy, efficiency, and timeliness. Preferred Skills and Certifications · Associates or Bachelor's degree in Security, Emergency, or Risk Management. · Active Secret Security Clearance or ability to obtain one. · Experience working within a secure government facility. · Military or law enforcement background. · Physical Security Professional (PSP) or Physical Security Certification (PSC) designation. |
