Job Summary
The Administrative Assistant provides support to ECAA partners (physicians) and the practice. This position performs a variety of clerical duties and skilled tasks that includes, but is not limited to, taking calls, working with and facilitating schedules, and administrative support as needed and requested.
Duties/Responsibilities
- Schedules meetings and reviews, prepares, and distributes materials as requested.
- Facilitates schedules and other administrative tasks.
- Assists with meeting preparation if necessary.
- Coordinates live/virtual meeting logistics and technology.
- Collect information, organize and distribute to necessary personnel.
- Collects requested data and information from various sources including email and other correspondence, meeting minutes and records, and other documents; prepares summaries and/or other related written correspondence as requested.
- Performs other related duties as requested by leadership and partners.
- Associates degree or the equivalent combination of education and experience.
- Three to five years of experience in a related role required.
- Demonstrated ability and experience with handling sensitive and confidential information with the utmost care, discretion in an ethical, trustworthy manner.
- Superior listening, verbal, and written communication skills with employees and all levels of organization and the ability to create a service-focused working environment of competency, open communication and trust.
- Demonstrated proficiency with virtual meeting logistics coordination and troubleshooting.
- Ability to organize and prioritize work.
- High integrity, detail-oriented and professional
- Proficient with Microsoft Office Suite, virtual meeting platforms, and related software/platforms in the corporate environment.
- Flexible and adaptable in various situations and when interacting with many different personalities.
- Knowledge of, or ability to quickly acquire, familiarity with the roles and function of the assigned department, and any specifically applicable laws or guidelines.
- May travel locally to other clinical locations, as needed.
