Position Overview:
We are seeking an experienced and highly organized Office Manager to join our team. The Office Manager will play a key role in ensuring the smooth operation of our office and providing essential administrative support to our team of financial planners and advisors.

Responsibilities:

  • Oversee day-to-day operations of the office, including managing administrative tasks, coordinating schedules, and ensuring efficient workflow.
  • Serve as the primary point of contact for clients, visitors, and vendors, providing exceptional customer service and representing the firm in a professional manner.
  • Manage office supplies and equipment, including ordering supplies, coordinating maintenance, and ensuring adequate inventory levels.
  • Assist with client communications and correspondence, including drafting emails, letters, and reports.
  • Coordinate meetings and appointments for advisors and clients, including scheduling conference rooms, preparing meeting materials, and arranging catering as needed.
  • Handle basic accounting tasks, such as processing invoices, expense reports, and payroll, in collaboration with our accounting team.
  • Assist with special projects and initiatives as needed, demonstrating flexibility and willingness to pitch in where needed.

Qualifications:

  • Previous experience in office management or administrative support role, preferably in a financial services or professional services environment.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with clients and colleagues at all levels.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software applications.
  • Experience with accounting software (e.g., QuickBooks) is a plus.
  • Proactive and resourceful problem solver, with a positive attitude and a willingness to learn and adapt.
  • Bachelor's degree in business administration, finance, or related field is preferred but not required.
