Overview Elderly Housing Management (EHM) is seeking an organized and detail-oriented Administrative Assistant to join our Housing Management team. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency in office software. This role involves general office support, effective communication with residents and staff, and assistance with housing management documentation and processes.
Duties
- Prepare and edit a variety of documents including correspondence, regulatory forms, management plans, newsletters, and reports.
- Develop and maintain efficient filing systems and databases for office documentation and housing records.
- Screen and direct incoming telephone calls, manage messages accurately, and handle emergency calls professionally.
- Schedule and coordinate meetings and appointments as directed.
- Sort, distribute, and process incoming and outgoing mail accurately.
- Purchase and maintain inventory of office supplies; arrange for equipment maintenance as needed.
- Provide required forms and reports, such as timesheets and logs, to appropriate staff.
- Act as Emergency Contact during after-hours incidents, as necessary.
- Represent EHM positively through professional presentation of documents and communications.
- Support special projects and other administrative tasks as assigned.
Requirements
- High school diploma or equivalent.
- Previous experience or training in general office procedures, basic accounting, and bookkeeping.
- Proficiency in MS Office Suite (Word, Excel, Publisher).
- Excellent communication skills, both verbal and written.
- Strong organizational skills, attention to detail, and ability to manage multiple tasks efficiently.
- Ability to work collaboratively within a team environment.
- Capable of managing sensitive information with discretion.
- Physically able to perform basic office duties such as lifting up to 25 pounds, accessing filing cabinets, and occasional local travel to banks.
