What are the responsibilities and job description for the Facilities and Inventory Manager position at Electrical Builders, Ind.?
This position has two primary objectives; First, is to plan, manage and direct daily activities and logistics within the EBI shop and grounds to support safe and efficient day-to-day operations and project execution needs. Second, this role is the primary party responsible for asset and material inventory management, tracking, and health of company owned assets. This includes but is not limited to proactive maintenance logs/reports and management of fleet vehicles, equipment, tools, and materials by tracking inventory using established inventory tracking procedures with the goal of implementing a formal inventory and asset management system.
Major Areas of Accountability:
Operations Support
- Responds to requests from operations to support project prep and execution needs.
- Responsible for overseeing accurate, timely, tidy and safe/secure loading of trailers, gang boxes, connex boxes and vehicles in a professional manner.
- Performs quality inspections of trailer loading/unloading for accuracy.
- Ensures all tooling, materials and equipment are properly and proactively maintained, audit maintenance logs/activities for completeness and accuracy.
- Ensures all assets sent to field are in high quality working order.
Inventory and Asset Management
- Responsible for accurate inventory/tracking of all company assets including but not limited to equipment, vehicles, tools, raw materials and consumables.
- Maintain records of all transactions and tracking shipments within the inventory system.
- Ensures inventory thresholds are met by tracking assets and their condition/location in real time.
- Tracks project equipment, tools, materials, PPE, and consumables before and after every project according to the trailer reconciliation and items received in shop or on site.
- Manages tangible asset logistics and performs material shipments to ensure that goods are delivered and arrive on time.
- Responsible for the Measuring and Testing Equipment in accordance with the company M&TE procedures.
- Keeps accurate counts of equipment and tools and proactively manages the equipment maintenance procedures to ensure all are always in proper working order.
- Responsible for managing vehicle and equipment maintenance for all company assets as well as confirming completion and accuracy of services performed.
- Identifies shop/job trailer/equipment and raw material needs and generates procurement requests to procurement department.
- Act as backup and support for other departmental procurement activities as needed.
Facilities/Shop Safety, Organization and Cleanliness
- Confirm shop and equipment/material storage areas are well organized, clean, safe and secure.
- Follows all housekeeping and safety rules and processes.
- Safely operates all equipment and machinery used
- Follows the receiving inspection process upon receipt of shop materials, tools and equipment.
Property Yard and Grounds
- Responsible for managing activities to ensure safe and professional condition of building, grounds and assets.
Supervise and Provide Leadership
- Responsible for managing shop personnel to ensure their roles and responsibilities are being performed to the highest degree including communication, training, coaching, timely performance feedback, corrective action and employee development.
- Supervise the work of shop personnel to ensure adherence to quality standards, deadlines, and proper procedures, correcting errors or problems.
Emergent Availability
- This position requires intermittent availability during weekends, evenings, and early mornings for emergency projects. This does not restrict the use of their time off from work and will only be required to report to work when emergency jobs are prevalent.
Process Improvement
- Supports the efforts of ISO 9001 and process improvement by recommending methods, equipment, techniques, and other changes to improve operations. Participates in internal audits, risk assessments and corrective actions as required. Assists with writing of work instructions and identifies any fixture or tooling needs. Is proactive in documentation and control of processes.
- Performs quality functions, such as, inspections of work using a variety of inspection devices, workmanship standards, and hand-held measuring equipment. Completes operator self-inspection, records and needed data. Uses required forms and checklists per procedures if applicable.
Apparent or Assigned – Performs any other work as apparent or assigned.
Qualifications for Entry:
- Facilities, warehouse, and/or fabrication shop management experience
- Trade school, associate's degree, or bachelor’s degree in relevant field preferred
- Successful supervisory experience.
- Working knowledge of Microsoft Office applications, particularly Word, Excel, and Outlook.
- Experience with budgets and department financials.
- Strong interpersonal, analytical and communication (written and verbal) skills are essential.
- Ability to multi-task in a fast-paced environment with rapidly changing priorities.
- Basic plumbing, carpentry, electrical knowledge, and mechanical aptitude.
- Mathematical abilities for accounting, cost analysis, determining ratios, volumes, and surface areas.
- Strong written and oral communication skills.
- Must be detail-oriented with excellent organizational and time management skills.
- Valid driver’s license with a good driving record.
- Must possess a demonstrated attention to detail and ability to lead directly and through influence.
- Demonstrate proven success in interfacing with a variety of organizational functions.
- Physical ability to independently and repeatedly lift, carry or maneuver up to 50 pounds.
