As the Administrative and Operations Assistant, you will be responsible for supporting the entire Elevate Health organization, including staff and the Board of Directors. This role oversees contract administration, supports the procurement process, coordinates meetings and events, staff scheduling, and tracks operational projects while handling daily office operations.
Here's what you'll be doing:
Office Administration & Leadership Support
- Provide day-to-day operations support for the Elevate Health organization, including scheduling assistance, support for special initiatives, and project support for the Leadership Team.
- Support Board of Directors and Committee meetings as directed.
- Manage and maintain organizational calendars.
- Coordinate meetings and events, including event planning, set-up, and execution.
- File and retrieve corporate documents, records, and reports.
- Manage office and facility needs, including overseeing facility improvements.
- Maintain supply and office inventory as needed.
- Open, sort, and distribute incoming correspondence, including packages and mail.
- Assist with all aspects of the office, including but not limited to design, furniture, and coordinating maintenance.
Contracts & Procurement
- Administer, track, and file contracts flowing through the organization.
- Support the contracting process, including routing contracting documents for final leadership, compliance, program, and finance review before execution.
- Monitor contract lifecycles for expiration, renewal, amendments, and statements of work.
- Ensure collection of partner/vendor audit documentation, W9s, and applicable insurance and audit requirements.
- Support procurement process, ensuring compliance and efficiency in vendor selection and contracting.
- Maintain effective working relationships with a diverse population of partners and peers.
- Assist leadership with new, ongoing, and ending contracts.
- Conduct quality assurance and process improvement as needed.
Administrative Compliance & Project Tracking
- Support the overall organization’s strategic planning process.
- Track corporate compliance internal requirements (e.g., staff driver’s licenses, vehicle insurance)
- Serve as the organization’s Safety Officer.
- Handle confidential information with professional discretion.
- Conduct support work such as interfacing with staff and external partners, project research, and drafting written communications.
- Secure and furnish information for compiling reports and presentations.
Perform other related duties as assigned.
Here's what we're looking for:
- Associate’s degree
- Minimum of three years’ experience in administrative coordination, executive support, and project management.
- Demonstrated experience in contract administration, procurement, and compliance tracking.
Preferred qualifications:
- Experience working with healthcare, public health, and social services agencies.
- Experience working with non-profit organizations.
- A strong ability to take initiative, think strategically, and plan for the future.
- Strong proficiency in Microsoft Office Suite, and various project management tools.
- Communicates effectively both verbally and in writing
