Job Summary:
We are seeking for a professional, organized, and personable Receptionist/Administrative Assistant to join our team. This role is vital in creating a welcoming and efficient environment for clients, visitors, and team members. The ideal candidate will manage front desk operations, handle administrative tasks, and support various office functions with accuracy and professionalism.
Key Responsibilities:
- Reception Duties:
- Greet and welcome visitors in a friendly and professional manner.
- Manage incoming calls, direct them to appropriate personnel, and take messages as needed.
- Maintain a clean and organized reception area.
- Handle inquiries from clients, customers, and employees with poise and courtesy.
- Administrative Support:
- Assist with scheduling appointments, meetings, and conference calls.
- Prepare, edit, and distribute correspondence, memos, and reports.
- Organize and maintain filing systems (electronic and physical).
- Order and maintain office supplies inventory.
- Office Coordination:
- Coordinate incoming and outgoing mail and courier services.
- Processing payments and recording documentation associated with it.
- Record/submit documents as needed to assist with daily operations
- Assist with onboarding new employees, including preparation of workspace and equipment.
- General Duties:
- Maintain confidentiality of sensitive information.
- Monitor office operations and assist in troubleshooting minor issues.
- Resolve/ process inquires from staff at the local building department.
- Take on additional tasks and responsibilities as assigned to support the team.
Qualifications and Skills:
- Proven experience as a Receptionist, Administrative Assistant, or similar role.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and familiarity with office equipment.
- Professional demeanor and positive attitude.
- Ability to work independently and collaboratively in a fast-paced environment.

Education and Experience:
- High school diploma or equivalent (required).
- Associate's degree or relevant certification (preferred).
