POSITION TITLE: Administrative Assistant β Middle School Counseling Office
STATUS: Full-Time 9 month position (mid/late August to early/mid June)
DEPARTMENT: Middle School

REPORTS TO: Middle School Principal/Middle School Assistant Principal

MINIMUM PAY RATE: $16.48/hour
General Responsibilities/Job Summary:
Provides administrative support to the counselors and building administrators to ensure the effective operation of the School Guidance Office. Acts as the primary contact for students, teachers, administrators and visitors for the School Counseling Office.
Essential Functions/Duties:
- Attend work regularly and on time and complete assigned tasks
- Handles written correspondence for counselors
- Interacts regularly with students, families, and staff
- Organizes appropriate and designated outside resources, with counselor guidance, for student support
- Provides customer service to students, families, and staff related to requested information
- Maintains and organizes calendar for usage of the counseling conference room
- Assists the School Assessment Coordinator with organization for planning and collecting state standardized testing
- Assists the administration and other office staff in yearly scheduling, as needed
- Attends weekly counselor/administrator meetings and maintains meeting agendas and minutes
- Coordinates supply orders for counseling office
- Provides back-up support for other school office staff

- Considerable knowledge of office principles and practices in the educational environment
- Ability to perform basic math skills

- Ability to receive and deliver detailed information through written and oral communications
- Ability to function at a high level in a fast-paced work environment
- Ability to multi-task and complete time-sensitive projects in an environment with frequent interruptions

- Ability to maintain a cooperative relationship with counselors, administration, staff, students, and families.
- Ability to understand and utilize the student information system (Sapphire)
- Ability to use standard office equipment
- Strong interpersonal and relationship building skills
- Knowledge of general computer programs
- Records retention and maintenance skills
- Computer and Software skills including the use of Microsoft Office Suite, File Maker Pro, Adobe, Google Suite, and Google Mail in an Apple environment
Minimum Qualifications:
- Education and Training: High School Diploma preferred
- Experience: Secretary or Administrative Assistant experience, preferably in an educational environment
- Required Certification/Licenses: None
- Travel Requirements: Limited travel within the District and in Lancaster County for meetings
Working Conditions:
- School setting, including offices, hallways and school grounds
- Typically requires close visual acuity involved with preparing and analyzing data, viewing a computer screen and extensive reading
- Occasional bending, crouching, stooping, twisting, reaching and grasping
- Some lifting, up to 25 pounds
- Manual dexterity and repetitive movement of fingers and hands for keyboarding

Performance will be evaluated annually in accordance with the provisions of the applicable policies of the Elizabethtown Area School District
