Summary of Position
The Program Assistant is a key member of the Donor Relations team, with limited additional responsibilities to the Advancement Services and Annual Giving teams. This is a dynamic role that assists with a variety of functions including, but not limited to, the preparation and support of communications, planning and support for meetings and events, and overall support of the Donor Relations team. This position reports to the Senior Director of Donor Relations.

General Purpose of Position
The Program Assistant must be highly organized and efficient, with the ability to balance multiple tasks and responsibilities; demonstrate good judgment and attention to detail; show strong written, oral and interpersonal communication skills; and work well both independently and as part of a team. This position also works closely with other departments within University Advancement and across campus.
Essential Duties and Responsibilities
- Carefully prepare, review, and edit various types of communications
- Assist with the planning and execution of Donor Relations, Annual Giving, and Presidential events (limited weekend and evening hours may be required)
- Assist in the coordination of Annual Giving mass mailings and premium fulfillment projects
- Manage declined credit card process in coordination with Gift Processing and Annual Giving teams; maintain accurate records and provide leadership in obtaining card information
- Prepare nametags for large and small university events
- Maintain a professional and welcoming office environment by greeting visitors, answering calls, and directing specific requests to the appropriate office or staff member
- Enter and update information in The Raiser’s Edge, such as event RSVPs, as projects require
- Assist in the management of the Donor Relations budget; monitor and reconcile expenses
- Process purchase, work, print, and catering orders; maintain financial records; manage procurement card expenses and allocations for the Donor Relations team
