Purpose Of Your Job Position

The primary purpose of your job position is to assist in providing supplies and equipment in an efficient manner, in accordance with current applicable federal, state, and local standards, guidelines and regulations, and as may be directed by the administrator, to assure that the highest degree of quality resident care can be maintained at all times.

Delegation Of Authority

As the Supply Clerk you are delegated the administrative authority, responsibility, and accountability necessary for carrying out your assigned duties.

Essential Job Functions & Responsibilities

Administrative and Supply Functions

  • Receive and follow instructions from your supervisor and as outlined in our established policies and procedures.
  • Adhere to established budgets for purchase of all supplies; utilizing only approved vendors
  • Ensure all telephone orders are confirmed with a written purchase order.
  • Ensure all purchase orders are properly prepared, signed and submitted as required in procurement policies and procedures.
  • Assist in preparing correspondence and claims concerning damaged merchandise, errors in shipment, etc., and return to vendor as required.
  • Assist in developing methods for determining quantity of supplies and equipment required.
  • Make written and oral reports/recommendations to the purchasing agent concerning procurement procedures as directed.
  • Ensure various departments are properly charged with supplies they have received for cost allocation purposes.
  • Deliver emergency supplies and equipment as directed.
  • Fill requisitions from departments for routine supplies and equipment in accordance with established policies and procedures.
  • Perform autoclave duties as necessary.
  • Ensure that supplies and equipment are properly maintained.
  • Organize storage, issue and delivery of supplies and equipment in accordance with established policies and procedures.
  • Check invoices, purchase orders, packing slips, etc., with incoming merchandise.
  • Ensure inventory is updated as required, when receiving/issuing supplies and equipment.
  • Ensure storage instructions are followed.
  • Organize storage and catalog location of supplies and equipment for efficient handling and to prevent deterioration.
  • Notify appropriate department when special orders have arrived.
  • Fill requisitions, as approved, and file in accordance with established policies and procedures.
  • Ensure that vendors provide appropriate material safety data sheets (MSDSs) in accordance with current OSHA regulations and the facility's policies and procedures. Report problem areas to the purchasing agent.
  • Others related duties as may become necessary or as directed by your supervisor.

Personnel Functions

  • Assist department personnel in identifying and correcting problem areas, and/or the improvement of services.
  • Create and maintain an atmosphere of warmth, personal interest and positive emphasis, as well as a calm environment throughout the department.
  • Report occupational exposures to blood, body fluids, infectious materials, and hazardous chemicals in accordance with the facility's policies and procedures governing accidents and incidents.

Staff Development

  • Attend and participate in in-service educational classes and on-the-job training programs.
  • Attend and participate in workshops, seminars, etc., as approved.
  • Attend and participate in annual OSHA and CDC in-service training programs for hazardous chemicals, TB management, and blood borne pathogens standard.

Safety and Sanitation

  • Follow all established safety procedures and precautions when handling supplies and equipment.
  • Maintain supply and storage rooms in a safe, clean and orderly condition.
  • Clean and check equipment as directed/necessary.
  • Report all incidents/accidents, no matter how minor, to your supervisor immediately.
  • Report equipment malfunctions or breakdowns to your supervisor as soon as possible.
  • Report all unsafe/hazardous conditions, defective equipment, etc., to your supervisor immediately.
  • Ensure that work/assignment areas are clean and equipment, tools, supplies, etc., are properly stored before leaving such areas on breaks, end of work day, etc.
  • Keep your work area(s) free of hazardous conditions, i.e., grease/oil spills, excess supplies, equipment, etc., to assure that all established safety rules/regulations are followed at all times.
  • Follow established policies and procedures concerning infection control when delivering supplies and equipment.
  • Ensure defective equipment is identified for maintenance repair as required in accordance with established policies and procedures.
  • Ensure that department personnel follow established procedures governing the use of labels and MSDSs.
  • Report missing/illegible labels and MSDSs to the safety officer or other designated person.

Resident Rights

  • Maintain confidentiality of all pertinent resident care information to assure resident rights are protected, including the right of refusal.
  • Knock before entering a resident's room.

Working Conditions

  • Moves intermittently during working hours.
  • Works in assigned areas of the facility.
  • Is subject to frequent interruptions.
  • Works beyond normal working hours and on weekends and holidays when necessary, as well as in other positions as needed.
  • Is subject to call-back during emergency conditions (e.g., severe weather, evacuation, post-disaster, etc.).
  • Attends and participates in continuing educational programs.
  • Is subject to cuts, bruises, falls, burns from equipment, odors, etc., throughout the work day, as well as to reactions from dust, disinfectants, tobacco smoke, and other air contaminants.
  • Is subject to exposure to infectious waste, diseases, conditions, etc., including TB and the AIDS and Hepatitis B viruses.
  • Communicates with nursing personnel, and other department personnel.
  • May be required to work in cramped spaces.
  • May be required to be On-Call for emergency conditions/situations.
  • May be subject to the handling of and exposure to hazardous chemicals.

Education Requirements

  • Must possess, as a minimum, a high school diploma.

Experience

  • None required. On-the-job training provided.

Specific Requirements

  • Must be able to read, write, speak, and understand the English language.
  • Must possess the ability to make independent decisions when circumstances warrant such action in a timely fashion.
  • Must possess the ability to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel, and the general public.
  • Must be knowledgeable of supply practices, procedures, and guidelines.
  • Must possess the ability to work harmoniously with other personnel.
  • Must possess the ability to minimize waste of supplies, misuse of equipment, etc.
  • Must possess the ability to seek out new methods and principles and be willing to incorporate them into existing practices.
  • Must be able to follow written and oral instructions.
  • Must not pose a threat to the health or safety of other individuals in the workplace.

Physical And Sensory Requirements

(With or Without the Aid of Mechanical Devices)

  • Must be able to move intermittently throughout the work day.
  • Must be able to speak and write the English language in an understandable manner.
  • Must be able to cope with the mental and emotional stress of the position.
  • Must be able to see and hear or use prosthetics that will enable these senses to function adequately to assure that the requirements of this position can be fully met.
  • Must function independently and have flexibility, personal integrity, and the ability to work effectively with residents, personnel, support agencies, and outside agencies.
  • Must meet the general health requirements set forth by the policies of this facility which include a medical and physical examination.
  • Must be able to push, pull, move, and/or lift a minimum of twenty-five pounds.
  • Must be willing to perform tasks that may involve exposure to the resident's blood/body fluids.
  • May be necessary to assist in the evacuation of residents during emergency situations.
