We are seeking an exceptional Office Coordinator to join our team as we reopen our Alpharetta office. This role is pivotal in creating a welcoming and engaging environment for our employees and visitors. The ideal candidate will be proactive, resourceful, detail oriented, and passionate about delivering outstanding service and memorable experiences.
In addition to traditional office facility responsibilities, this role will serve as the heartbeat of our office culture, fostering connections and elevating the overall workplace experience. You will play a key role in building a sense of community while ensuring seamless operations in a fast-paced and dynamic environment.
Key Responsibilities:
Culture and Experience:
• Act as the first point of contact for employees and visitors, providing a warm, high-touch concierge-level experience.
• Proactively create and implement initiatives to enhance office culture, from hosting events to fostering team engagement.
• Partner with HR and leadership to develop programs and experiences that align with our organizational values and priorities.
• Ensure the office atmosphere is welcoming, inclusive, and reflective of our company culture.
Concierge-Level Service:
• Anticipate the needs of employees and visitors to deliver an exceptional workplace experience.
• Offer support for meetings, events, and special projects, including coordination and hospitality.
• Collaborate with Facilities and IT teams to resolve issues quickly and efficiently.
Proactive Communication and Problem-Solving:
• Stay ahead of potential issues by identifying and addressing needs before they arise.
• Foster open communication with employees to gather feedback and continuously improve the workplace experience.
Office Coordination and Operations:
• Oversee day-to-day operations, including supply inventory, equipment maintenance and repairs, and vendor management.
• Handle daily incoming and outgoing mail, FedEx shipping, and other logistics needs.
• Manage conference room reservations and logistics for corporate executive meetings including catering needs.
• Order and manage office supply inventory, including breakroom coffee and equipment supplies.
• Assist in the employee onboarding/offboarding process, key card and desk assignments, and manage the floorplan.
• Responsible for emergency procedures, fire drill schedule, health and safety orders
• Monitor and ensure tidiness of common areas, including reception, kitchen, and conference rooms.
• Manage the onsite storage room ensuring it remains organized with safe storage conditions.
• Submitting office invoices and managing related expenses ensuring they align with the Facility budget.
• Data entry and expense report assistance for Senior Executives.
• Assist Facilities team with overflow tasks as needed submitting invoices for payment.
Qualifications:
- Proven experience in office coordination, hospitality, or a similar customer-focused role.
- Exceptional organizational skills and attention to detail.
- Strong interpersonal and communication skills, with the ability to engage and inspire others.
- A creative and proactive mindset, eager to innovate and improve processes.
- A passion for building community and enhancing the employee experience.
- Proficiency in office software (e.g., Microsoft Office, Google Workspace) and an ability to learn new tools quickly.

COMPENSATION & BENEFITS
Target Compensation: $60,000-65,000
Please note that this range reflects a reasonable estimate of the target compensation for this position. This range may ultimately vary based on a candidate’s qualifications and may be higher where required by applicable law.
