Position Summary The Payroll / Human Resource Coordinator aids with and facilitates the payroll and human resource processes. This role provides administrative support to the human resource function as needed, including record-keeping, file maintenance and data entry. This position resolves benefits-related problems and ensures effective use of plans and positive employee relations. Key Roles and Responsibilities Human Resources :
Assist in the recruitment process, i.e. processing & reviewing background checks, scheduling drug screens, physicals, etc.
Coordinate the on-boarding process for new hires, verify I-9 documentation, complete I-9 forms, coordinate orientation and training.
Maintain confidential personnel records, including I-9’s, to meet compliance and audit standards.
Set up and maintain Drivers files and various external applications according to DOT & FMCSA (Federal Motor Carrier Safety Administration) to meet compliance and audit standards.
Coordinate with the Consortium and management for the full cycle administration of the Random Drug Screen program.
Ensure compliance with Federal, State, and local employment laws.
Coordinate employee training sessions and development programs.
Track employee training completion and maintain training records.
Performs customer service functions by answering employee queries and concerns.
Promote a positive workplace culture.
Reconciles and conducts audits of benefits statements.
Assist with the administration of health and welfare plans, including enrollments, changes, and terminations. Processes required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions.
Assist in the preparation and distribution of HR-related communications.
Assist in maintaining internal HR communication channels.
Other duties and projects as assigned
Payroll :
Process weekly payroll accurately and on time, includes auditing timesheets.
Process weekly certified wage reporting, including providing supporting documentation, working with outside vendors and customers for reconciliation.
Respond to general employee inquiries regarding payroll.
Assist with entry level accounting tasks, generate reports and summaries for accounting purposes.
Stay informed about changes in payroll and / or tax regulations.
Accurate and timely processing of other financial compensations or deductions (e.g. bonuses, garnishments, monthly reimbursements, etc.).
Collaborate with employees, managers, and other departments to resolve payroll related issues.
Utilize payroll software to process payments.
Maintain accurate payroll records and employee data.
Qualifications
Strong communication and interpersonal skills with aptitude in building relationships with team members inside and out of the organization
Strong organizational skills with a high attention to detail.
Self-motivated; capable of taking initiative, successfully handle and prioritize multiple competing assignments and effectively manage deadlines.

Intermediate computer skills and experience with Microsoft Office
Working knowledge of office equipment to include copier, fax, scanner, postage.

Office Environment
Position involves sitting for extended periods of time while working at a computer terminal.
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; sit; and use hands. The employee is occasionally required to reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and / or move up to 35 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Requirements
Minimum of 2 years’ proven experience in a Human Resources position.
Knowledge of HR policies, procedures, and best practices.
Experience with HRIS and payroll software.
Prefer previous experience and knowledge of payroll processing, regulations, and compliance.
Proficient in Microsoft Applications including Word, Excel and Outlook.
