Job Summary: We are seeking an experienced Accounts Receivable Specialist with a strong background in customer relations to join our team. In this role, you’ll handle the end-to-end accounts receivable process, with a primary focus on maintaining positive client relationships while ensuring timely payments. This position requires a proactive communicator who can balance assertive collections with excellent customer service to optimize cash flow without compromising client trust.
Key Responsibilities:
- Oversee invoicing, account aging, and receivables tracking.
- Reconcile customer accounts and resolve discrepancies with a professional, customer-focused approach.
- Ensure timely collection of receivables to maintain cash flow and reduce overdue accounts.
- Customer-Focused Collections
- Initiate and manage collection calls/emails, working closely with clients to understand and address payment challenges.
- Provide a courteous and solution-oriented approach to resolving payment issues, aiming to retain customer satisfaction.
- Develop and maintain a follow-up system for payment reminders and collections activity tracking.
- Regularly review accounts to ensure accurate, up-to-date records of payments and outstanding balances.
- Prepare aging reports, and analyze receivables to provide insights on cash flow, outstanding debts, and customer trends.
- Collaborate with sales and customer service teams to address customer issues that may impact timely payments.
- Act as a liaison between customers and internal teams to promptly resolve disputes related to invoices, product/services, or payment terms.
- Employ problem-solving skills to negotiate and establish payment plans as necessary, balancing customer needs with company policies.
- Track and document all interactions and solutions to maintain a clear audit trail.
Qualifications:
- Bachelor’s degree in Finance, Accounting, Business, or a related field preferred, or equivalent work experience.
- 3 years of experience in accounts receivable, credit, or collections, ideally within a customer-centric environment.
- Proficient in accounting software (e.g., QuickBooks, NetSuite) and Microsoft Excel.
- Familiarity with CRM software and best practices for collections is preferred.
- Exceptional interpersonal skills with a positive, customer-focused attitude.
- Strong negotiation and conflict-resolution skills; able to handle sensitive conversations with professionalism and tact.
- Detail-oriented, organized, and able to manage multiple accounts and deadlines.
- Communication Skills:
- Excellent verbal and written communication skills, with the ability to handle client interactions effectively.
- Ability to explain billing details clearly and concisely to customers and to document all communications accurately.
