Essential Job Duties
- Guided by the company’s mission, vision and values, interacts in a professional, compassionate, and friendly manner with all clients and coworkers
- Fully immersed at front desk and front of house oversight driving sales, bookings and managing daily schedule including rescheduling as needed
- Ensure payroll is accurate and submitted timely each pay period
- Responsible for providing support and improving operations of the daily activities of a medical spa including telephone coverage, appointment scheduling, patient paperwork, opening and closing transactions and client care
- Responsible for pulling KPI’s and monthly scorecards, reviewing with team, and creating revenue generating business plans
- Create development plans for associates to help achieve their career goals
- Assist in the hiring and training of new staff members
- Monitor patient satisfaction and work with staff to ensure that patients receive the highest level of care
- Manage staff schedules, including time off requests, and ensure adequate staffing levels
- Ensure compliance with all regulatory requirements, including OSHA, HIPAA, and other relevant laws and regulations
- Assist in managing the financial operations of the medspa, expenses and collections
- Coordinate with marketing/social media team on promotional activities to increase patient volume and revenue
- Oversee inventory management
- Oversee lead conversion from phone calls, web and email channels
- Work as a technology implementation liaison for new equipment and software
- Work with the Practice Lead and Ops team to develop and implement policies and procedures that ensure the smooth operation of the medspa
Minimum Qualifications:
- Able to travel to both our Buffalo, NY and Rochester, NY locations
- Two years of leadership experience, preferably multi-unit
- Ability to act with integrity, be proactive with client needs, seek to continuously improve service, and work collaboratively with the entire team
- Ability to work independently and as part of a team
- Organized and detail-oriented
- Strong verbal and written communication skills
- Two years’ experience in a beauty enhancement environment such as a med spa, salon with spa, dermatology or plastic surgery office
