Position Summary:
The HR Compliance Manager will ensure that the company’s HR practices and policies comply with federal, state, and local laws and regulations, and that its employees adhere to relevant laws, regulations, internal policies, and ethical standards. The HR Compliance Manager will collaborate and work with various internal departments including legal, HR, finance, and operations in the performance of their job functions. The HR Compliance Manager will develop, implement, monitor and maintain a comprehensive compliance program, conducting research, risk assessments, and audits.
Essential Job Functions:
- Ensure all departments and employees adhere to relevant labor and employment laws, regulations, internal policies, and ethical standards.
- Ensure the company’s HR practices and policies, including employee handbooks, comply with federal, state, and local laws and regulations.
- Monitor changes in labor and employment regulations and maintain current knowledge of applicable laws and regulations.
- Advise management and staff on best practices to ensure compliance with applicable laws and regulations.
- Manage the company’s programs for dealing with employee health and safety issues, including the oversight and administration of safety and health programs following established company policies and applicable legal requirements.
- Develop and manage systems and methodologies (training, policy memorandums, etc.) for informing employees of the company’s health and safety programs, expectations and requirements applicable to their respective positions.
- Conduct training sessions and produce educational materials for employees to raise awareness of compliance issues related to attendance, accidents, injuries, illness, leave of absence, and post-leave returns to work.
- Identify and address compliance issues and implement practices to ensure compliance.
- Monitor workplace safety measures to ensure they meet legal standards.
- Investigate possible violations of the company’s HR policies and procedures. Investigate any instances of non-compliance and recommend corrective action.
- Develop and coordinate corrective action plans for any identified non-compliance issues.
- Carry out employee disciplinary actions, including warnings and terminations.
- Manage all leave of absence notices and requests from employees, including interfacing with them as needed, and ensure that appropriate leave of absence documentation is created, obtained, and maintained in accordance with applicable legal requirements.
- Provide assessments using the information received from health care providers, company departmental ability to provide reasonable accommodation and/or comply with performance restrictions, knowledge of related physical and mental requirements for performing essential job duties, and applicable legal considerations before approving return to work following leaves of absence due to medical issues.
- Collaborate with the company’s in-house and outside legal counsel in connection with the foregoing.
- Develop reports on compliance trends, progress, and results for senior management review.
- Ensure accuracy and thoroughness in all aspects of compliance.
Qualifications and Skills:
- Bachelor’s degree in human resources, business administration, or related field.
- 5 years of experience in HR compliance
- Knowledge of labor and employment laws and regulations
- Strong understanding of employee rights and obligations
- Familiarity with HR principles and practices
- Excellent communication and interpersonal skills
- Ability to interpret and communicate legal provisions
- Strong analytical and problem-solving skills
- Ability to interpret complex regulations
