Position Overview:
We are seeking a dedicated and organized Office Assistant to provide vital administrative support for our South Carolina 3PL warehouse operations. This role will serve as an extension of the account specialist team, working closely with warehouse managers and customer service teams in the U.S. and China. The Office Assistant will play a key role in ensuring the seamless preparation, processing, and communication of warehouse documents, schedules, and customer orders.
Location:
- South Carolina Warehouse (Office Location); Remote support to New Jersey Warehouse .

Key Responsibilities:
- Freight Order Management:
- Prepare freight order documents to ensure accuracy and completeness.
- Assist warehouse managers with freight scheduling, tracking and shipping.
- Inbound Scheduling:
- Coordinate and manage inbound shipments, ensuring timely scheduling with carriers and warehouse teams.
- Maintain accurate records of incoming shipments for operational visibility.
- Payroll and Time Tracking:
- Maintain accurate staffing roster in the payroll system.
- Process employee timecards and manage payroll submissions using TimeNet.
- Ensure accuracy in payroll data and resolve any discrepancies promptly.
- Cross-Team Coordination:
- Collaborate with account specialists and customer service teams in the U.S. and China to manage orders and resolve escalations.
- Act as a communication bridge between warehouse teams and external stakeholders.
- B2C Labeling and Order Processing:
- Cross-train as a backup for B2C labeling and freight order processing to ensure smooth operations during peak times or staff absences.
- Document Management and Communication:
- Maintain and organize essential warehouse documents, ensuring compliance with company policies.
- Communicate order updates, project statuses, and escalations to relevant stakeholders in a timely manner.
- Operational Support:
- Provide real-time administrative assistance to warehouse managers to support daily operations.
- Contribute to process improvements by identifying inefficiencies and recommending solutions.
Qualifications:
- Experience: Minimum of 2 years of administrative or office assistant experience, preferably in a warehouse or logistics setting.
- Education: High school diploma or equivalent required; associate’s degree or higher is a plus.
- Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with logistics systems such as WMS or time-keeping software is highly desirable.
- Excellent organizational and multitasking abilities.
- Strong communication skills, both written and verbal.
- Attention to detail and ability to work in a fast-paced environment.
