EFCG Office Manager Job Description

Overview:

Environmental Financial Consulting Group (EFCG) is looking for a Office Manager to join its welcoming 16-person team. This individual should be an enthusiastic team player who can support the senior leadership and EFCG Team with day-to-day and longer-term initiatives. This role’s primary responsibilities include managing financial and HR systems, overseeing office needs, and supporting on EFCG and client events. The candidate should be eager to take on critical assignments starting Day 1, with the opportunity to grow and take on more responsibilities within the organization.

EFCG is a boutique financial and consulting firm. It is the leading advisor to the architectural, engineering, and consulting industry and is focused on providing a data-driven and strategic edge to its clients to advance the innovation, sustainability, and success of the industry. EFCG’s experienced team works remotely but comes together in-person multiple times a year. This close-knit group is based in the United States and Europe. The Office Manager role is located in Denver, Colorado, working remotely/from home most of the time, with weekly in-person responsibilities.

Key Responsibilities:

  • Financial
  • Invoice and receive payments from clients using Quickbooks
  • Manage incoming checks
  • Manage expense gathering via Expensify and reimbursement
  • Wire transfers to consultants / vendors
  • Manage relationships with bank, accountant, and bookkeeper
  • Manage office bills
  • Manage Accounts Receivable and follow up with clients on past-due invoices
  • HR
  • Manage JustWorks system for payroll and bonuses
  • Maintain up-to-date employee information
  • Manage 401(k) payroll contributions
  • Help new employees get set up on JustWorks and coordinate their onboarding trainings and experience
  • Manage W-2 forms, 1099 forms, and other critical HR-related paperwork with our HRIS, etc. partners
  • Office
  • Be the welcoming personality of EFCG, answering inbound client emails and calls with a sense of urgency and care
  • Manage office mail (e.g., picking up 1x/week)
  • Manage W-9 Requests / Vendor Registration Forms
  • Oversee general administrative team coordination (e.g., manage the EFCG team calendar, plan office events)
  • Support scheduling for Managing Partners as needed
  • Conferences
  • Support Conferences Team around major events (e.g., printing, ordering swag)
  • Proofread materials
  • Support with venue bookings and team travel arrangements as needed
  • Travel for our five main events a year, with the potential for more as needed
  • Client Workshops/Meetings
  • Find, book, and manage meeting room spaces, hotel rooms, and restaurants as requested
  • Support with preparing and meeting materials as requested
  • Coordinate travel arrangements as needed

Additional Potential Responsibilities:

  • Financial: Own Bookkeeper responsibilities, managing EFCG’s financial books and creating monthly, quarterly, and annual reports.
  • HR: Oversee HR Administrative function, anticipating and managing end-to-end organizational and employee needs and managing EFCG’s onboarding experience.
  • Marketing: Draft and post EFCG LinkedIn posts for general EFCG marketing and conferences and help coordinate and manage website updates and LinkedIn Page.
  • Conferences: Oversee timeline for and execution of administrative responsibilities for EFCG’s five main conferences (e.g., printing, order swag, proofread event materials).
  • General: Develop PowerPoint templates for events and client project work under the guidance of EFCG team members.

Skills / Capabilities Needed:

  • Need to Have
  • Bachelor’s degree
  • Exceptional organizational skills and attention to detail
  • Strong written and communication skills, with excellent proofreading abilities
  • At least 2 years of experience with QuickBooks
  • Experienced with PC computers
  • Upbeat, “can-do” attitude
  • Enthusiasm to help meet the needs of the time, and with a sense of urgency
  • Excellent client relations skills
  • Proficient with the Microsoft Suite, including Excel and PowerPoint
  • Nice to Have
  • At least 2 years’ experience in an Office Manager or similar role
  • 2 years of bookkeeping experience
  • 2 years of HR administrative experience
  • Proven marketing strategy experience
  • Experience booking and coordinating Zoom meetings

Location:

  • Denver, Colorado, work from home

Compensation:

  • Salary: $60,000 - $80,000
