JOB SUMMARY
We are looking for a tenacious, resilient and strong communicator to join our team as an Administrative Support Specialist. For the Essential Duties And Responsibilities, the Candidate will support the following:
- Customer service including: customer order processing, communication with customers and data entry for customer orders
- Light accounting (AR & AP)
- Track supplies and orders
- Review and refine processes for efficiency
- Provide ongoing support to staff where needed (scheduling, phone calls, emails, filing, reports, research, discrepancies)
- Create SOPs and training materials that include an audit system, and continually update job knowledge
- Attend department meetings and huddles. Take minutes and distribute and follow up on assigned tasks
- Work on isolated projects as needed
- Clean up data in ERP database for customers, suppliers and products
- Follow through on emails/calls/site visits
- Work closely with President on quarterly action plans and various tasks
- Support production with purchasing and planning
- Gather quotes and follow through on certain projects
Qualifications
- Advanced knowledge of Microsoft products; pivot tables; charts and formulas
- Demonstrated follow up skills
- High level of verbal and written communication
- Problem solving (spot an error and suggest how to resolve)
- Ability to multi task and prioritize daily workload
- Resourceful and determined to see things through
- Acts with discretion and confidentiality
- Conducts self with high level of professionalism and contributes to a drama free work environment
