Job Description
DISTINGUISHING FEATURES OF THE CLASS
The work involves a variety of clerical duties of average difficulty. Under the direct supervision of a higher-ranking employee, the incumbent indexes, cross-indexes, certifies and registers documents and issues licenses. Employees in this position are expected to perform their duties within the scope of specific laws, office rules and procedures related to indexing, filming and recording of legal instruments. Supervision may be exercised over lower level clerical employees. Does related work as required.
TYPICAL WORK ACTIVITIES
Candidates must be able to demonstrate awareness and sensitivity towards promoting an inclusive and diverse learning environment. Good knowledge of methods of certifying legal documents filed in the office of the County clerk; good knowledge procedures of certifying signatures of public officers and issuing licenses; good knowledge of office terminology, procedures and equipment; ability to maintain office records; ability to understand and follow detailed oral and written instructions; clerical aptitude; industrious and dependability; tact and courtesy; physically capable of performing the essential functions of the position with or without reasonable accommodation.
Minimum Qualifications
Graduation from high school or possession of a high school equivalency diploma and in addition either (A), (B) or a combination of (A) & (B). A. Completion of one (1) year of college or business school with a major in secretarial science or a related clerical field supplemented by two (2) years of satisfactory office clerical experience; B. Three (3) years of satisfactory office clerical experience.

- Certifies copies of records and authenticates signature of Registrar of Vital Statistics, Notaries of
- Returns documents to customers after recording; Indexes, records and files documents, post changes to records;
- Attends public at counter for information, direction, copy requests and processing of no fee documents;
- Reviews microfilm for accuracy of data;
- Operates an alphanumeric keyboard to transcribe data directly to a computer;
- Reproduce negative or positive copies of official records, reports, legal documents and other material for public record (may be optical image, microfilm or photocopy);
- Performs all functions of scanning; operates equipment (scan, delete, and store), changes film, cleans and maintains equipment, orders supplies);
- Examines papers for accuracy and completeness;
- Searches files using indexes and cross-references.
