Ethical Culture Fieldston School is a progressive PreK-12 independent school that has been serving students from throughout New York City and the surrounding suburbs since 1878. ECFS offers a rich curriculum in the arts, sciences, and humanities. Fieldston Future Leaders Camp
The Fieldston Summer Camps have created valuable summer experiences for both campers and instructors! We are a six-week summer day camp for rising PreK through 8th-grade children. Both morning and afternoon sessions specifically cater to each camper’s interests. Fieldston Future Leaders Camp is a nurturing and safe environment filled with a fun and exciting way of learning. We have a strong emphasis on science, technology, engineering, math, and design-based programming that is experiential and project-based. All of our programs cater to leadership development, confidence building, and creativity because we recognize that each child has the potential to make an impact on the world.
Position Summary
This Office Administrator will report to the Camp Director and provide professional ongoing support for the Fieldston Summer Camp Program. It is a full-time role from May 1, 2025, to August 1, 2025.
The hiring amount for this position is $10,000. When determining the salary for a position, ECFS considers factors including, but not limited to: the scope and responsibilities of the position, internal peer equity, key skills required for the role, the candidate’s work experience, education and training, as well as market and organizational considerations.
Please note that this is an onsite role and is not performed remotely. Ethical Culture Fieldston School retains its right to modify job duties in accordance with changing operational needs.
Responsibilities
Specific responsibilities of the Office Administrator will include:
- Managing all health forms and immunization records for campers;
- Preparing or overseeing the preparation of lists, forms, notices, etc., as needed for pre-camp and during camp;
- Becoming familiar with Hi Sawyer and Excel to generate lists and access camper information;
- Reviewing and ensuring that all paperwork is in order (e.g., trip notices, bus lists, etc.);
- Creating, maintaining, and adopting checks and balances for a smooth operation of the camp;
- Responsible for tracking camp expenses and purchase orders to maintain budget limits;
- Onsite camp office supervision and supervision of office staff in coordination with the Finance Administrator;
- Receiving and responding to emails, particularly those from parents;
- Reviewing camper health forms, preparing and maintaining allergy packets, contacting parents regarding camper health issues, obtaining snack sign-off’ from parents, distributing information to staff along with the camp nurse;
- Participating and supervising in pre-camp setup, open house, and camp closing;
- Preparing for and participating in staff orientation and leading group meetings throughout the summer;
- Planning special events, such as family visit day;
- Approving and monitoring petty cash expenditures;
- Assisting at bus dismissal and trip departures;
- Meeting with the camp director daily;
- Communicating to parents as requested by the camp director;
- Ensuring confidentiality of student information as necessary;
- Assisting camp director as requested;
- Fostering positive relationships with team members;
- Motivating and inspiring the team and coworkers to achieve goals;
- Performing other projects, initiatives, and other duties as needed and assigned.
Position Requirements
The successful incumbent will possess:
- Previous supervisory experience either in a school or camp setting;
- Prior experience working with Excel and Hi Sawyer is a plus;
- A high degree of organization, resourcefulness, and attention to detail;
- Excellent verbal, written, and oral communication skills to effectively communicate with team members, campers, and the School community;
- Strong organizational skills, including follow-up, time management, and ability to multi-task and manage multiple priorities;
- The ability to handle confidential materials with discretion while maintaining a high level of integrity;
- The ability to identify issues quickly and problem solve accordingly, and to remain calm in stressful situations that may arise;
- Demonstrate a solid understanding of and ability to provide great customer service;
- The ability to work collaboratively in group settings, as well as independently, to meet project goals and team needs;
- A positive attitude and the ability to listen effectively and be receptive to feedback;
- Reliability, punctuality, and consistent attendance; and
- A deep respect and appreciation for diversity in all of its forms.
